It's the difference between owning one AI-powered chatbot and having AI genuinely woven into the way your team works every day, so the benefit compounds instead of staying isolated to one task. ## Section: AI transformation vs. AI implementation AI implementation usually means adding one tool for one task. A chatbot on your website. A report generator for your monthly numbers. It solves a narrow problem and stops there, and it can absolutely be worth doing on its own. AI transformation changes how the process runs end to end. Instead of just answering website questions, the same system also feeds qualified leads into your CRM, triggers a follow-up sequence, and updates your pipeline dashboard automatically. The result holds up after the initial setup, because it's built into the workflow, not bolted onto the side of it. One doesn't replace the other. Most businesses start with implementation on a single pain point and grow into a fuller transformation once they see it work. ## Section: What AI transformation covers A real AI transformation touches every part of the business that runs on repeatable work: - Sales: lead scoring, automated follow-ups, and pipeline visibility that updates itself. - Marketing: AI-assisted content, personalization, and spend tracking that shows what's actually working. - Support: automated routing and instant answers to the questions your team answers every day. - Operations: SOPs that get followed in practice, not just written down and forgotten in a folder. - Website: content, speed, and visibility in both traditional and AI-powered search. None of these live in isolation. A lead scored well by your sales AI should show up in a marketing campaign built for that segment, and a support ticket flagged as urgent should route to the same system tracking your operational SLAs. That connection is what separates transformation from a pile of disconnected tools bought from five different vendors. ## Section: Why businesses outside tech need this most Manufacturing, insurance, retail, finance, healthcare, and real estate businesses often don't have an in-house IT team, and most AI vendors build for companies that do. That mismatch is why so many AI pilots in traditional industries stall after the demo. The tool works fine in a sales presentation and then sits unused because nobody on the team has the technical background to maintain it. AI transformation done right works with the tools you already have. If you run on Zoho, Excel, and WhatsApp, that's the starting point, not a reason to wait. We build around your existing tech stack instead of asking you to replace it, and we explain every decision in plain language your team can actually follow. ## Section: How to know if you're ready You don't need perfect data or a dedicated AI team to start. You need a process that's currently manual, repetitive, and costing your team real hours. If you can point to a specific bottleneck, whether that's slow lead follow-up, a support inbox that piles up, or quotes that take three days to go out, you have enough to start with. ## Common misconceptions A lot of business owners assume AI transformation means replacing staff or handing critical decisions to a machine. In practice, the highest-value work usually removes the repetitive parts of a job so the person doing it can focus on judgment calls, relationship building, and the exceptions that actually need a human. It also doesn't require a massive upfront investment. Most engagements start narrow, on one process or department, and expand from there once the results are visible. ## Section: Own your data, not just a subscription Plenty of businesses are already using AI daily, by pasting client emails, contracts, and internal numbers straight into ChatGPT or Claude. That's a real privacy exposure, not a hypothetical one. Once sensitive business information goes into a general-purpose consumer AI tool, you have no practical way to control where it goes, who else's queries it might influence, or whether it resurfaces somewhere it shouldn't. For a business handling client contracts, financial data, or health information, that's not a small risk. AI transformation done properly means building AI into systems your business actually owns, your own CRM, a private chatbot trained only on your own data, an internal tool your team controls, not routing your day-to-day business conversations through a public AI provider's servers. Owning your data isn't a compliance checkbox. It's what keeps a competitor, a data breach, or a future policy change at another company from becoming your problem. ## Common questions ### Is this only for larger businesses? No. Some of the clearest wins come from small teams where one or two people are drowning in repetitive work. The scale of the business matters less than the scale of the repeatable process. ### How is this different from just buying a ChatGPT subscription? A general-purpose AI tool like ChatGPT isn't connected to your CRM, your customer data, or your workflows. AI transformation builds those connections so AI is acting on your actual business, not answering questions in a separate window. **CTA BUTTON** See Where AI Fits Your Business --- ## PAGE: https://www.agency.in/ai-rescue/ # Your AI Project Is Broken. We Fix It. ## Subhead You paid a freelancer, bought a tool, or had someone build an AI system for you. It worked in the demo. Now it gives wrong answers, breaks without warning, or nobody on your team can explain how it actually works. We hear this every week. It is almost always fixable. ## Signs your AI project needs a rescue - The chatbot or assistant gives confidently wrong answers to customers - It worked for a few weeks, then quietly stopped working - The person who built it is unreachable, or was never a developer to begin with - Nobody on your team can open the code and explain what it does - It was connected to your CRM or website and now something downstream is broken too - You are paying for a tool every month and cannot tell if it is actually helping If any of this sounds familiar, the fix is rarely starting over from scratch. It is almost always an audit first. ## What we can rescue - AI chatbots giving wrong, inconsistent, or hallucinated answers - Freelancer-built or no-code AI tools that stopped working after handoff - Broken automations in HubSpot, Zoho, Zapier, Make, or similar platforms - DIY prompt setups that worked in testing and fell apart in real use - AI integrations that silently broke something downstream in your CRM or website - Any AI build where the original developer is no longer available to maintain it ## How we approach a rescue ### 1. Audit before anything else We review the existing build, the data it runs on, and what it was supposed to do. This tells us what is salvageable and what needs to be rebuilt, so you are not paying to redo parts that were working fine. An NDA is available before this step if you need one. ### 2. Stabilize what is live If the tool is customer-facing, our first priority is stopping active damage, wrong answers reaching customers, broken workflows, silent failures, before anything else. You should not be running a broken AI tool while a rebuild is underway. ### 3. Rebuild what needs rebuilding Once stable, we rebuild the parts that were never built correctly. We use systems your team can actually maintain going forward, not another setup only the original developer understands. ### 4. Hand over documentation You get a plain-language explanation of how the system works and what to do if something changes. The goal is that you are not back in this situation in a year. ## What usually goes wrong in the first place Most broken AI builds share the same pattern. A business needs an AI tool quickly, hires a freelancer or uses a no-code platform without fully understanding what the tool actually needs to work. The build looks fine in a controlled test. Once real customers start using it, edge cases appear that were never accounted for: questions the system was not trained to handle, data it cannot access, or a prompt that works for a narrow range of inputs and breaks on everything else. By the time we get the call, the business has often lost confidence in AI entirely. The real problem was how the first version was built, not whether AI could work for them at all. ## Why businesses bring this to us instead of starting over We are a team with 16 years of combined experience in marketing technology, CRM systems, and software delivery, with direct experience fixing AI projects across industries. We are not a single freelancer or a no-code platform. We work with clients across the US, UK, Australia, and New Zealand every week. We schedule overlap hours with US Eastern and Australian Eastern time specifically so a rescue project does not run into the same communication delays that often caused the original problem. ## Common questions ### What do I do if my AI chatbot gives wrong answers? Start with an audit of the underlying data and prompt setup. Most wrong-answer problems come from bad data sources or a prompt that was never tested against real customer questions, not from the AI model itself. ### Can a broken AI automation be fixed instead of rebuilt from scratch? Often yes. A proper audit shows which parts of an existing build are salvageable and which need to be replaced, which usually costs less and takes less time than starting over. ### How long does an AI rescue take? Depends on how much needs to be stabilized versus rebuilt. Most rescues start showing results within the first one to two weeks, with a full rebuild completed in four to six weeks for a typical build. ### Will we need to share our systems and data with you? Yes, to a point. We need to see what was built and what it runs on. We will sign an NDA before we look at anything if that is what you need, and we do not share client systems or data with anyone outside the project team. ## Start with a free audit Send us what you have, working or not, and we will tell you honestly whether it is worth saving, what is wrong with it, and what it would take to fix. No cost, no obligation to continue, and an NDA is available before you share anything. **CTA BUTTON** Book Your Free Rescue Audit --- ## PAGE: https://www.agency.in/ai-consulting/ # AI Consulting: Get a Straight Answer, Not a Sales Pitch ## Subhead You don't need another AI vendor pushing their own product. You need someone who tells you straight what's worth doing and what isn't, based on how your business actually runs, not a generic industry report. ## The problem Most businesses evaluating AI get pitched by vendors selling one specific tool, each one convinced their product is the answer. Without someone neutral in the room, it's easy to end up with three overlapping subscriptions and none of them solving the actual bottleneck. Consulting exists to fix that before you spend anything on a tool that isn't the right fit. ## Why it matters A wrong AI purchase doesn't just waste the subscription cost. It wastes the weeks your team spends trying to make it fit, and it makes the next AI conversation harder because someone in the room remembers the last one not working. Getting the first decision right matters more than the price of any single tool. ## Feature cards ### Vendor-Neutral Advice We recommend what's right for your business, even when that means pointing you to another company's tool instead of building something ourselves. ### Built on 16 Years in the Trenches Advice grounded in real implementation work across HubSpot, Zoho, and custom builds, not theory pulled from a slide deck. Our sister agency, cta9.com, is a HubSpot Gold Solutions Partner serving clients across the US, Europe, and Australia. ### A Plan You Can Act On Every consulting engagement ends with a clear, written plan your team can execute, with or without us. ### No Retainer Required to Get Started A single consulting engagement can stand on its own. You're not locked into an ongoing contract just to get an honest opinion. ### Focused on What You Can Actually Use We don't recommend a five-tool stack when one well-configured tool solves the problem. ## How it works - We learn your business, your current tools, and where things are actually breaking down. - We map where AI can realistically help, and just as importantly, where it can't. - We prioritize the options by effort and impact, so you're not staring at an overwhelming list. - You get a written recommendation you can hand to your team or another vendor. ## What's included - A working session to understand your business and tools - An honest assessment of where AI fits and where it doesn't - A prioritized list of opportunities, ranked by effort and impact - A written summary you can act on immediately - A follow-up call to answer questions once you've reviewed it ## A quick example A B2B distributor came to us convinced they needed a custom AI platform after a vendor demo. One consulting session showed the real bottleneck was slow quote turnaround, which a configuration change inside their existing CRM solved for a fraction of the vendor's quote. That's the kind of outcome a neutral second opinion is built to catch. ## Who this is for This is for business owners and operators who suspect AI could help somewhere in their business but don't want to bet a large budget on a guess. If you've been pitched by three different AI vendors and gotten three different answers, this is the step that cuts through it. ## Common questions ### Do you only recommend your own services? No. If another tool or vendor is genuinely the better fit, we'll say so. Our job here is the advice, not the upsell. ### How long does a consulting engagement take? Most engagements run one to two weeks, from the first working session to the final written plan. ### What if we decide not to move forward with any of it? That's a fine outcome. You keep the written recommendation either way, and there's no obligation to continue. ### Can this cover more than one department? Yes, most engagements look across sales, marketing, support, and operations rather than just one team in isolation. ### Will you plug our business data into ChatGPT or another public AI tool during this? No. Part of our advice is steering you away from that exact risk. Business conversations, contracts, and client data routed through a public consumer AI tool are outside your control. We recommend and build systems your business actually owns. ## Closing Good AI consulting should leave you with clarity, not more confusion. If you walk away from a session unsure what to do next, it wasn't worth the time. **CTA BUTTON** Book Your Free Consulting Session --- ## PAGE: https://www.agency.in/ai-strategy/ # AI Strategy: A Roadmap Tied to Revenue, Not Buzzwords ## Subhead Most AI failures start with no plan. We help you build a roadmap that ties AI directly to revenue, cost, and time saved, not just technology for its own sake or a trend your competitors are chasing. ## The problem It's easy to get excited about what AI can do and much harder to know what it should do for your specific business, in what order, and with what budget. Without a strategy, teams either freeze and do nothing, or scatter effort across five small pilots that never add up to anything measurable. ## Why it matters A business without an AI strategy tends to make decisions reactively, chasing whatever tool got mentioned in the last meeting. A real strategy turns that scattered effort into a sequence, so each phase builds on the last instead of competing with it for budget and attention. ## Feature cards ### A Roadmap Tied to Business Outcomes Every recommendation is tied to a number that matters to you, whether that's hours saved, leads recovered, or faster response times. ### Prioritized, Not Overwhelming We tell you what to do first, second, and third, instead of handing you a long list and walking away. ### Built Around Your Team's Capacity A strategy that fits the team you actually have, not the team a consulting deck assumes you have. ### Realistic About Budget and Timeline We build the roadmap around what you can actually spend and staff this year, not a five-year fantasy plan. ### Reviewed and Adjusted, Not Static Priorities shift. We build the roadmap to be revisited each quarter, not treated as fixed the day it's written. ## How it works - We audit where AI could realistically help across sales, marketing, support, and operations. - We score each opportunity by impact and effort required. - We sequence the roadmap into phases your team can actually execute. - You get a document you can revisit and adjust as priorities shift. ## What's included - A full audit across departments, not just one team - An impact-versus-effort scoring of each opportunity - A phased roadmap with realistic timelines - Budget guidance for each phase - A strategy document your team can reference going forward ## A quick example A US financial services client had five different AI ideas floating around leadership, from a chatbot to a full CRM rebuild. The strategy session ranked them by effort and impact, and the roadmap started with a two-week lead scoring project instead of the six-month CRM rebuild everyone assumed was the starting point. That two-week project funded the case for the bigger one later. ## Who this is for This is for businesses that already know AI matters but haven't turned that into an actual plan. If your leadership team has talked about AI in three different meetings without agreeing on a next step, a strategy engagement gets everyone rowing in the same direction. ## Common questions ### Does this include implementation? Strategy and implementation are separate engagements. You can bring the roadmap to us or to any other team once it's built. ### How far out does the roadmap look? Most roadmaps cover 12 months, broken into quarters, since priorities and tools shift faster than that. ### Who should be in the room for this? Ideally whoever makes budget and priority decisions, since the roadmap is only as useful as the buy-in behind it. ### What if our business changes direction mid-year? The roadmap is built in phases specifically so it can flex. A shift in priorities doesn't mean starting over. ## Closing A strategy only earns its cost if someone actually follows it. We build ours to be specific enough that your team can start executing the week after the session ends. **CTA BUTTON** Get Your AI Roadmap --- ## PAGE: https://www.agency.in/ai-readiness-assessment/ # AI Readiness Assessment: Find Out What's Actually Ready ## Subhead Before you commit budget to AI, find out what's actually ready to support it, and what isn't. This audit is free and it's the actual first step for every engagement we take on, not a sales pitch dressed up as a freebie. ## The problem Plenty of AI projects fail for a boring reason: the underlying data or process wasn't ready. A lead scoring model built on messy CRM data gives bad scores. A chatbot trained on outdated product information gives wrong answers. Skipping the readiness check is the most common way to waste an AI budget. ## Why it matters The cost of finding out mid-project that your data isn't usable is always higher than finding out beforehand. That's exactly why we don't charge for this step. Charging for the assessment would put a price on the thing most likely to save you from a bad investment, which defeats the point. ## Feature cards ### A Clear Picture of Your Data We check whether your data is clean, complete, and structured enough to actually power AI tools, not just assume it is. ### Tool and Team Readiness We look at your current tools and team skills to flag real gaps before they become expensive surprises mid-project. ### A Straight Answer on What to Fix First No sugarcoating. You'll know exactly what needs attention before moving forward with any AI investment. ### A Report You Can Share Internally Written in plain language your leadership team can act on, not a technical audit only an engineer would understand. ### Free, With an NDA If You Want One No cost, no obligation to continue, and we'll sign an NDA before we look at anything if your data or client contracts need that protection. ## How it works - We review your current systems, data quality, and workflows. - We score readiness across three areas: people, process, and tools. - We flag the specific gaps that would derail an AI project if left unaddressed. - You get a report with clear, prioritized next steps. ## What's included - A review of your core data sources (CRM, spreadsheets, forms) - A check on tool compatibility with common AI integrations - A team readiness assessment, including skill gaps - A scored readiness report across people, process, and tools - A short list of fixes to complete before starting an AI project ## A quick example An Australian retail client wanted a personalization engine for email marketing. The readiness assessment found their customer data was split across three disconnected systems with no shared customer ID. Fixing that data problem took three weeks and cost far less than building a personalization engine on top of broken data, which would have failed regardless of how good the AI model was. ## Who this is for This is for businesses that want to avoid an expensive false start. If you're about to commit budget to an AI project and want to know your foundation can actually support it, this is the step before that spend. ## Common questions ### What if we're not ready? That's a normal outcome, not a failure. We'll tell you exactly what to fix, and you can come back to AI once it's addressed. ### How long does an assessment take? Most assessments take one to two weeks, depending on how many systems and data sources we need to review. ### Do you fix the gaps you find? We can, as a separate engagement, or you can address them internally or with another vendor. The assessment doesn't assume you'll hire us next. ### Is this only about data, or also about our team? Both. Data quality matters, but so does whether your team has the bandwidth and skills to actually use what gets built. ### Is this actually free, or is there a catch? It's genuinely free. No credit card, no fine print that turns into a bill later. It's how every engagement with us starts, whether you continue with us afterward or not. ### Can you sign an NDA before looking at our systems? Yes. If your data, client contracts, or internal processes need that protection, we'll sign one before the audit starts, just ask. ## Closing This audit costs you nothing and could save you from a failed AI rollout that costs a great deal. That trade is exactly why we lead with it. **CTA BUTTON** Book Your Free Readiness Audit --- ## PAGE: https://www.agency.in/ai-implementation/ # AI Implementation: Built Into Tools You Already Use ## Subhead A plan is only useful if someone actually builds it. We implement AI directly into your existing tools and workflows, and stay involved until it's genuinely working, not just live. ## The problem Plenty of businesses have a strategy document sitting in a drive somewhere that never turned into anything. The gap between a plan and a working system is where most AI initiatives quietly die, usually because no one had the time or technical depth to actually build it. ## Why it matters A plan without execution is just a document. The value of AI transformation only shows up once something is actually running in front of real customers or real data, which is exactly the step most internal teams get stuck on without dedicated technical support. ## Feature cards ### Built Into What You Already Use No rip-and-replace. We work inside your current CRM, helpdesk, or website instead of asking you to adopt a new platform. ### Tested Before It Touches Your Business Every build is tested against real scenarios and real data before it goes anywhere near your customers. ### Rolled Out in Phases We launch in stages so problems surface early and small, instead of all at once in a live environment. ### Support Past Launch We stay involved after go-live, monitoring and adjusting, not just for the initial setup and handoff. ### Documented as We Build You get documentation for what was built and why, so it's not a black box only we understand. ## How it works - We scope the specific build based on your strategy or a defined problem you want solved. - We build the integration inside your existing tools. - We test against real scenarios before anything goes live. - We roll out in phases and train your team as each phase lands. ## What's included - Integration with your existing CRM, helpdesk, or website - Testing against real business scenarios before launch - A phased rollout plan to limit risk - Team training on the new workflow - A support window after launch to catch and fix issues ## A quick example A US insurance agency had a strategy for automated renewal reminders sitting unused for months because nobody on staff could build it. We implemented it directly inside their existing CRM over three weeks, tested it against a full quarter of past renewal data, and rolled it out to one book of business before expanding it agency-wide. ## Who this is for This is for businesses that already know what they want built, whether from a strategy engagement with us or their own internal plan, and need someone to actually build it inside their existing systems. ## Common questions ### Do you build custom software or just configure existing tools? Both, depending on the project. Many implementations are configuration inside tools like HubSpot or Zoho. Some need custom development on top. ### What happens if something breaks after launch? You're covered during the support window we agree on upfront, and we can set up an ongoing maintenance arrangement after that if you want one. ### How do you test before launch? We run the build against real historical data and scenarios from your business, not synthetic test data that doesn't reflect how customers actually behave. ### Can we make changes mid-build? Yes, within reason. The phased approach is designed to surface feedback early so adjustments don't require starting over. ### Do you build on top of public AI tools like ChatGPT, or something we actually own? Something you own. We implement AI inside your own CRM, helpdesk, or a private system, not as a wrapper around a public consumer AI tool where your business conversations aren't fully in your control. ## Closing Implementation is where most of the real value gets created, and where most of the risk sits if it's rushed. We'd rather take an extra week testing than hand you something that breaks in front of a customer. **CTA BUTTON** Start Your AI Build --- ## PAGE: https://www.agency.in/ai-automation/ # AI Automation: Less Manual Work, Not Fewer People ## Subhead Repetitive work eats up hours your team could spend on things that actually need a person. AI automation handles the repeatable parts, reliably, without needing anyone to babysit it or double-check every run. ## The problem Every business has a handful of tasks that follow the exact same steps every time, sending a status update, copying data between two systems, checking whether a form was filled out correctly, and every one of those tasks currently takes a person's time and attention away from work that actually needs judgment. ## Why it matters Manual, repetitive work doesn't just cost time. It's also where mistakes creep in, since a person doing the same task fifty times a week is more likely to slip than a system doing it the same way every single time. Automation removes both the time cost and the error rate at once. ## Feature cards ### Fewer Manual Handoffs Work moves between steps automatically, without someone remembering to push it along or forgetting until it's overdue. ### Consistent Execution, Every Time The process runs the same way whether it's Monday morning or Friday at 6pm, with no variation based on who's covering that day. ### Visibility Without Micromanaging See what's running and what's stuck, without chasing updates or asking someone for a status report. ### Built to Handle Exceptions When something doesn't fit the normal pattern, it gets flagged for a person instead of silently failing or doing the wrong thing. ### Scales Without Adding Headcount Volume can grow without the manual workload growing alongside it. ## How it works - We map the repetitive tasks eating up your team's time, usually starting with the most obvious pain points. - We identify which steps genuinely don't need human judgment and which ones do. - We automate the repeatable steps and build clear escalation paths for exceptions. - Your team reviews exceptions and outcomes instead of doing the routine work by hand. ## What's included - A task audit to find the highest-value automation opportunities - Automated workflows connecting your existing tools - Exception handling so edge cases route to a person - A dashboard showing what's running and what needs attention - Documentation your team can reference or hand off internally ## A quick example A manufacturing client in the US Midwest had their operations team spending roughly six hours a week manually copying order data between their quoting tool and their production scheduling system. Automating that single handoff freed up nearly a full workday every week, with errors from manual re-entry dropping to close to zero. ## Who this is for This is for teams drowning in manual, repeatable work, data entry, status updates, handoffs between departments, where the process itself is clear but nobody has time to automate it. ## Common questions ### What kinds of tasks are worth automating? Anything repeatable, rule-based, and time-consuming. If you can describe the steps in a checklist, it's usually a good candidate. ### Will automation break if something changes? We build in exception handling specifically so unusual cases get flagged instead of processed incorrectly. ### How do we know it's actually saving time? We build in reporting so you can see volume processed and time saved, not just trust that it's working. ### What if the process itself needs to change later? Automations built this way are usually straightforward to adjust, since the underlying steps are documented, not buried in someone's memory. ### Do we need technical staff to maintain this? No. Once built, most automations run without needing technical maintenance from your side, and we remain available for anything that does come up. ## Closing The goal of automation isn't to remove people from the process. It's to remove people from the parts of the process that never needed them in the first place. **CTA BUTTON** Automate Your First Process --- ## PAGE: https://www.agency.in/ai-agents/ # AI Agents That Take Action, Not Just Chat ## Subhead An AI agent doesn't just answer a question. It can look things up, take an action, and follow a task through to the end, inside the tools you already use, without a person doing each step manually. ## The problem A chatbot that can only answer FAQ-style questions hits a wall fast. The moment a customer wants to actually book something, check an order status, or update a record, a basic chatbot hands them off to a person anyway, which means the wait time customers were trying to avoid comes right back. ## Why it matters The difference between answering a question and completing a task is the difference between a nice-to-have and something that actually changes how much time your team spends on routine work. Agents close that gap, which is why they matter more than a simple FAQ bot once a business has outgrown the basics. ## Feature cards ### Agents That Take Action, Not Just Chat Book meetings, update records, and follow up on open tasks, without waiting on a person to do it manually. ### Trained on Your Own Business Data Agents that know your products, policies, and processes specifically, instead of giving generic answers pulled from the open internet. ### Built With Guardrails Every agent has clear limits on what it can and can't do without a person's approval, so it never acts outside its scope. ### Handles Multi-Step Tasks An agent can pull information from one system, act on it in another, and confirm the result, all in a single interaction. ### Improves With Use Agents get better at handling edge cases as they encounter more real scenarios, within the guardrails you've set. ## How it works - We identify a specific, well-defined task worth handing to an agent. - We connect the agent to the systems it needs to actually take action. - We test the agent against real scenarios, including edge cases and mistakes. - You review results and expand the agent's scope once it's proven reliable. ## What's included - A defined scope for what the agent can and can't do - Integration with the systems the agent needs to act on - Guardrails and approval steps for higher-risk actions - Testing against real scenarios before launch - Ongoing monitoring so you can see what the agent is doing ## A quick example A real estate agency in Australia built an agent that handles initial property inquiries: answering questions, checking availability against the live listing system, and booking a viewing slot directly on an agent's calendar. What used to take an agent ten minutes per inquiry, often after a delay, now happens instantly, with agents only stepping in for negotiation and follow-up. ## Who this is for This is for businesses ready to go beyond a simple chatbot, where a customer or team member needs something actually done, not just answered, and doing it manually is the current bottleneck. ## Common questions ### Can an agent make mistakes? Yes, which is why every agent we build has guardrails and clear limits on what it can do without human approval. ### Is this the same as a chatbot? No. A chatbot answers questions. An agent can take real actions inside your systems, like updating a record or scheduling a follow-up. ### How do we control what the agent is allowed to do? You set the boundaries upfront. Anything outside that scope, like issuing a refund or making a pricing exception, routes to a person instead. ### Can we start with something small? Yes, and we recommend it. Most successful agent deployments start with one narrow, well-defined task before expanding. ### Does the agent send our business data to a public AI provider? No. We build agents on infrastructure your business controls, not by wiring your data into a general-purpose consumer AI tool. Confidential business conversations stay inside systems you own. ## Closing We start every agent build narrow and well-tested, then expand its responsibilities once it's proven it can be trusted with more. **CTA BUTTON** Build Your First AI Agent --- ## PAGE: https://www.agency.in/ai-for-sales/ # AI for Sales ## Subhead Your sales team spends hours chasing leads that were never going to buy. AI sorts the good leads from the noise, keeps every follow-up on schedule, and gives you a clear picture of what's actually moving. ## The problem Most sales teams lose deals to slow follow-up, not bad selling. A lead comes in, gets a warm first response, and then sits untouched for a few days while your team handles everything else on their plate. By the time someone circles back, the prospect has already talked to a competitor. ## Why it matters Response time is one of the strongest predictors of whether a lead converts, and it's also the easiest thing for a busy sales team to let slip. Fixing that one bottleneck, without hiring anyone new, is usually where AI pays for itself fastest in a sales organization. ## Feature cards ### Lead Scoring That Actually Works AI ranks every lead by how likely they are to buy, based on real behavior like page visits and email opens, not just gut feeling. ### Follow-Ups That Never Slip Every lead gets a timely follow-up, automatically, even during your busiest weeks, so nothing falls through the cracks. ### Smart Chatbots for First Contact Website visitors get answers immediately, day or night. Qualified leads land straight in your CRM, already tagged and ready for a rep. ### Pipeline Visibility Without the Guesswork See exactly where every deal stands and which ones are stalling, without pulling a report by hand every week. ### Faster Handoff From Marketing to Sales Leads arrive pre-qualified and scored, so reps aren't wasting time figuring out who's worth calling. ## How it works - We connect to your CRM and sales tools, whatever you're already using. - We build a lead scoring model around what your best customers actually looked like before they bought. - We set up automated follow-up sequences that match how your team actually sells. - Your team gets a ranked, prioritized list of leads worth calling first, updated in real time. ## What's included - Lead scoring calibrated to your sales cycle - Automated follow-up sequences across email and other channels - A chatbot trained on your product and pricing - Pipeline dashboards your sales managers can actually use - Ongoing tuning as more sales data comes in ## A quick example A US-based B2B services company was losing an estimated fifteen percent of inbound leads simply because nobody followed up within the first 24 hours. After automated scoring and follow-up sequences went live, that response window dropped to under an hour for high-scoring leads, with reps focusing their calls on the leads most likely to actually close. ## Who this is for This is built for sales teams busy enough to be dropping leads, but not big enough to have a dedicated revenue operations person fixing it. If your reps spend more time on admin than actual selling, this is where AI pays for itself fastest. ## Common questions ### Will this replace my sales reps? No. It handles the repetitive parts, like scoring and follow-up timing, so your reps spend their time on conversations that need a person. ### Do I need to switch CRMs? No. We build inside the CRM you already use, whether that's HubSpot, Zoho, Salesforce, or something else. ### How long until we see results? Most teams see a noticeable change in follow-up speed within the first couple of weeks, with scoring accuracy improving over the following months. ### Does this work for a small sales team? Yes, often especially well, since a small team has the least slack to absorb dropped follow-ups. ## Closing Sales AI works best when it's built around how your team actually sells, not a generic playbook. We start with a look at your current pipeline and go from there. **CTA BUTTON** Score Your Leads With AI --- ## PAGE: https://www.agency.in/ai-for-marketing/ # AI for Marketing ## Subhead Good marketing takes time your team doesn't have. AI writes the first draft, personalizes the message, and tells you which campaigns are actually working, not just which ones felt good. ## The problem Most small marketing teams are stretched across content, campaigns, and reporting, often with one person covering all three. Something always slips, usually the personalization and the follow-up analysis, because there simply isn't time to do everything well every week. ## Why it matters Generic, one-size-fits-all marketing gets weaker returns than personalized marketing, but personalization at scale has traditionally required either a large team or expensive tooling. AI closes that gap for smaller teams, which is exactly where the return on the investment tends to be highest. ## Feature cards ### Emails That Write Themselves AI drafts campaigns and follow-ups in your brand voice, ready for your team to review and send, not publish blind. ### Spend That Goes Where It Works AI tracks which channels bring real customers, not just clicks, so your budget goes toward what's actually converting. ### Personalization Without the Manual Work Every customer sees a message built around what they actually care about, without your team building ten versions of one email. ### Reporting That Doesn't Take a Day to Build See what's working across every channel in one place, instead of stitching together spreadsheets before a Monday meeting. ### Faster Campaign Turnaround Go from idea to a ready-to-send draft in a fraction of the time it used to take. ## How it works - We connect your marketing tools and pull in past campaign data. - We set up AI-assisted content and personalization workflows around your existing segments. - We build reporting that tracks real outcomes, not just opens and clicks. - You review, approve, and ship campaigns faster than before. ## What's included - AI-assisted drafting for emails and campaigns - Personalization based on customer behavior and segment - Spend tracking across the channels you already use - A reporting dashboard built around outcomes, not vanity metrics - Ongoing refinement as your campaigns run ## A quick example A one-person marketing team at a retail brand was sending the same weekly email to their entire list, with open rates slowly declining. After segmenting customers by purchase history and letting AI personalize the offer within each segment, click-through rates roughly doubled, with the same person spending less time building each campaign. ## Who this is for This is for marketing teams of one to five people trying to do the work of a much bigger department, especially when personalization and reporting are the first things to get dropped under deadline pressure. ## Common questions ### Will AI-written content sound generic? Not if it's trained on your brand voice and past campaigns, which is exactly how we set it up before anything goes live. ### Do we still need to approve everything before it sends? Yes, by default. AI drafts, your team reviews and approves, unless you specifically want a fully automated sequence. ### Can it help with social media too, or just email? It can extend to social and other channels, though most engagements start with email since that's usually the highest-friction area. ### How is this different from a generic AI writing tool? A generic tool doesn't know your brand voice, past campaign performance, or customer segments. This is trained on your actual data. ### Can this help with paid ad campaigns too? It can, particularly around spend tracking and audience insights, though the core focus is usually email and owned channels first. ## Closing The goal isn't to replace your marketing team's judgment. It's to give them back the hours currently spent on drafting and reporting so they can spend it on strategy. **CTA BUTTON** Personalize Your Next Campaign --- ## PAGE: https://www.agency.in/ai-for-operations/ # AI for Operations ## Subhead Your operations team keeps the business running, often with too many manual checks and too little visibility. AI keeps processes moving and gives you a clear view of what's actually happening. ## The problem Most operational breakdowns don't happen because the process was wrong. They happen because a step got skipped, a handoff got missed, or nobody noticed something was stuck until a customer complained. Written SOPs don't prevent that on their own. ## Why it matters Operations problems are often invisible until they become customer-facing problems. By the time a client calls to ask where their order is, the breakdown happened days earlier, quietly, somewhere in the handoff chain. Visibility earlier in the process is what actually prevents that call. ## Feature cards ### SOPs That Actually Get Followed AI checks that the process happened as written, not just that it was documented somewhere in a shared drive. ### Fewer Manual Status Checks Get visibility into what's on track and what's not, without chasing updates from three different people. ### Faster Handoffs Between Teams Work moves between departments automatically, instead of sitting in someone's inbox waiting to be noticed. ### Early Warnings, Not After-the-Fact Reports Get flagged when something is falling behind, while there's still time to fix it, not after the deadline has passed. ### A Single Source of Truth Status lives in one place your whole team can see, instead of scattered across chat threads and spreadsheets. ## How it works - We map your current operational workflows and find where they tend to break down. - We build AI-assisted checks and reminders directly into the existing process. - We set up handoff automation between the teams involved. - You get a dashboard view of what's moving and what's stuck, in real time. ## What's included - A workflow audit to find where processes actually break down - Automated checks that confirm each step happened - Handoff automation between departments - A live dashboard showing status across active processes - Alerts when something is falling behind schedule ## A quick example A distribution business had orders regularly stalling between the warehouse and the billing team, usually because nobody flagged the handoff until a customer called asking where their invoice was. Adding an automated handoff check cut that particular delay almost entirely within the first month. ## Who this is for This is for operations teams juggling multiple processes across departments, where the SOP exists on paper but following it consistently depends entirely on someone remembering to check. ## Common questions ### Does this replace our existing SOPs? No. It builds on top of them, so the process you've already documented actually gets followed in practice. ### Can this work across multiple departments at once? Yes. Most operational breakdowns happen at handoffs between teams, which is exactly where this tends to add the most value. ### Do we need new software to get this? Usually not. We build the checks and dashboards on top of the tools you already use for operations. ### How fast can we see where our process is breaking down? The initial workflow audit usually surfaces the biggest gaps within the first week or two. ### Can this scale as our operations grow? Yes. The checks and dashboards are built to handle growing volume without requiring a rebuild each time the business scales up. ### What if different departments use completely different tools? That's common, and it's exactly where handoff automation adds the most value, connecting systems that otherwise wouldn't talk to each other. ## Closing Good operations shouldn't depend on someone remembering every step. We build systems that catch what a busy team would otherwise miss. **CTA BUTTON** Fix Your First Bottleneck --- ## PAGE: https://www.agency.in/ai-for-customer-support/ # AI for Customer Support ## Subhead Every dropped ticket costs you a customer's trust. AI routes, tracks, and answers the repetitive questions, so your team handles the ones that actually need a person's judgment. ## The problem Support teams spend a huge share of their day answering the same handful of questions over and over, order status, return policy, business hours, while the tickets that genuinely need a thoughtful answer sit in the same queue, waiting their turn. ## Why it matters Customers judge a business by how fast and how accurately their question gets answered, not by how busy the support team happens to be that day. Repetitive questions clogging the queue directly slow down the response time on the questions that matter most. ## Feature cards ### Tickets That Never Get Lost Every question gets routed to the right person automatically, based on topic and urgency, not whoever happens to see it first. ### Instant Answers for Common Questions AI handles the questions your team answers every day, so they can focus on the ones that actually need judgment. ### Response Times You Can Actually Measure See exactly how fast your team is responding, and where the bottlenecks are, without guessing. ### Works Across Channels Email, chat, and WhatsApp questions all get handled through the same system, instead of three separate inboxes. ### Consistent Answers Every Time The same policy question gets the same accurate answer, regardless of which team member (or AI) is handling it. ## How it works - We connect your support inbox, helpdesk, or chat channels. - We train AI on your FAQs, policies, and past support history. - We set up automated routing so tickets land with the right person. - Your team handles fewer repetitive tickets, faster, with AI covering the routine questions. ## What's included - AI-assisted responses trained on your FAQs and policies - Automated routing by topic and urgency - Response time tracking and reporting - Support across email, chat, and WhatsApp - Escalation paths for anything that needs a person ## A quick example A retail support team was spending nearly half their day answering order-status questions that could have been resolved automatically. After connecting AI to their order system, those questions started resolving instantly, and average response time on genuinely complex tickets dropped by more than a third within the first month. ## Who this is for This is for support teams getting buried under repetitive questions, where response times are slipping and the team doesn't have the bandwidth to answer everything as fast as customers expect. ## Common questions ### Will customers know they're talking to AI? That depends on your preference. Some businesses disclose it upfront, others use AI to draft responses a person reviews before sending. ### What happens with a question AI can't answer? It escalates to a person automatically, along with the context already gathered, so nothing has to be explained twice. ### Can it handle multiple languages? In many cases yes, depending on the languages your customers use. We'll confirm coverage during setup. ### Does this work with our existing helpdesk software? In most cases yes. We connect to the platform you're already using rather than requiring a switch. ### How do you handle sensitive or complaint-related tickets? Those route directly to a person by default. AI handles routine questions, not situations that need empathy and judgment. ### Can we adjust the tone or style of AI responses? Yes, responses are set up to match your brand's tone, whether that's formal, friendly, or somewhere in between. ### Does our customer data end up inside ChatGPT or another public AI tool? No. We build your support AI on infrastructure you own, trained only on your own data, not routed through a public consumer AI tool where you have no control over where that data goes. ## Closing The fastest way to improve support isn't hiring more people. It's making sure the questions that don't need a person never reach one in the first place. **CTA BUTTON** Speed Up Your Support Team --- ## PAGE: https://www.agency.in/ai-for-website/ # AI for Your Website ## Subhead Your website should bring in business while you sleep. We make it faster, easier to find, and visible in AI search tools like ChatGPT and Google AI Overviews, not just traditional search. ## The problem Most business websites were built once and left alone. Content goes stale, load times creep up, and search visibility quietly erodes, all while AI search tools are becoming a bigger source of how people find businesses in the first place. ## Why it matters A slow, outdated website doesn't just lose search rankings. It's often the first impression a prospective customer gets of your business, and a page that's hard to find or slow to load quietly costs leads that never even reach your contact form. ## Feature cards ### Built for Speed A faster site keeps visitors on the page instead of losing them to a slow load before they even see your offer. ### Content That Writes and Updates Itself AI helps keep your blog and pages fresh without extra hours from your team every single week. ### Visible on AI Search, Not Just Google We optimize your site so AI tools recommend your business when someone asks a relevant question. ### Built on What You Already Have We work with your current CMS and hosting wherever possible, instead of forcing a full rebuild from scratch. ### Mobile-First by Default Most visitors arrive on a phone, so every page is built and tested for mobile first, not as an afterthought. ## How it works - We audit your current site, speed, and search visibility. - We rebuild or optimize the pages that matter most for speed and SEO. - We set up AEO and GEO so AI search tools can find and cite your content. - Your site keeps working for you, long after the initial launch. ## What's included - A full site and speed audit - SEO and AEO optimization across key pages - AI-assisted content refresh for existing pages - Mobile and load-time optimization - Ongoing monitoring of search and AI visibility ## A quick example A B2B manufacturer's website hadn't been updated in nearly four years and loaded in over eight seconds on mobile. After a speed and content overhaul, load time dropped under two seconds, and organic inquiries through the contact form increased noticeably within the first quarter. ## Who this is for This is for businesses whose website hasn't been touched in years, or one that looks fine but isn't actually bringing in leads, especially now that AI search tools are changing how people find businesses. ## Common questions ### Do we need a full redesign? Not always. Many sites just need speed, content, and SEO work rather than a ground-up rebuild. ### What is AEO and GEO, exactly? Answer engine and generative engine optimization, the practice of making your content easy for AI tools like ChatGPT and Perplexity to find and cite. ### How long before we see a difference in traffic? Speed and technical fixes show up quickly. Search and AI visibility improvements usually take a few months to fully show in the numbers. ### Will this work with our current CMS? In most cases yes. We work with what you already have unless it's genuinely holding the site back. ### Do you handle hosting too, or just the site itself? We can advise on hosting if it's part of the problem, but our focus is on speed, content, and search visibility, not becoming your hosting provider. ## Closing A website that just sits there isn't doing its job. We treat it as a working part of your business, not a one-time project you check off a list. **CTA BUTTON** Get Your Free Site Audit --- ## PAGE: https://www.agency.in/industries/ # AI Transformation by Industry ## Subhead Every industry runs differently. A manufacturing floor and a CA firm don't share the same bottlenecks, so we build AI transformation around how your specific business actually works, not a one-size-fits-all playbook copied from a different sector. ## Why industry matters Generic AI advice tends to miss what's actually slowing a business down. A retail business loses money on missed 2am customer questions. An insurance agency loses it on slow claims follow-up. A CA firm loses it on chasing documents during filing season. The fix looks different in each case, even though the underlying AI tools are similar under the hood. We've worked directly inside these industries long enough to know where the real friction sits, not just the friction a generic AI vendor assumes exists based on a case study from a completely different kind of business. That difference shows up in how fast a project actually delivers results. ## Core industries ### Manufacturing Faster quotes, automated order follow-ups, and clear inventory visibility, built around legacy systems most manufacturers still run on day to day. ### Healthcare Scheduling, patient questions, and follow-ups handled without adding staff, with data privacy built in from the start of the project. ### Financial Services Faster onboarding, fewer routine questions, and consistent lead follow-up, built for advisors, MFDs, and small NBFCs, not just large institutions. ### Insurance Faster response on inquiries, automated renewal reminders, and smarter lead scoring for agents and brokers chasing the right prospects first. ### Retail 24/7 customer answers, personalized offers, and inventory-aware marketing that adjusts to what's actually in stock right now. ### Real Estate Instant response to every inquiry, and follow-up that never goes quiet between a buyer's first message and a closed deal. ## Specialist services and trading sectors ### CA & Compliance Firms Automated document chasing and deadline tracking for CA, CS, and compliance practices, built from direct experience delivering for SASVA & Associates in Surat. ### Agri-Export Trading Faster buyer response and certificate tracking for agri-export trading houses, informed by running our own export business, MangoShop.in. ### Education Consultants Instant response to admission inquiries and application deadline tracking across universities, for consultants competing on speed. ### Food Compliance Consultants Document collection and renewal tracking for FSSAI, HACCP, and ISO certifications, so nothing lapses across your client book. ### Pharma Distribution & CMOs Stockist coordination and regulatory documentation tracking for distributors and contract manufacturers, a different problem set from patient-facing healthcare. ### Chemical & Petrochemical Traders Visibility for international buyers on Google and AI search, plus export documentation tracking for chemical trading businesses. ## How we tailor by industry The starting point for every engagement is the same, understanding where your team's time is actually going, but the specific systems, compliance considerations, and customer expectations differ by industry. A healthcare practice needs privacy built in from day one. A CA firm needs a system that tracks a compliance calendar, not appointment scheduling. We bring that context in from the first conversation instead of treating every client the same. ## Don't see your industry? These twelve are where we've done the most direct work, but the same approach applies to almost any business built on repeatable sales, support, or operational processes. If your industry isn't listed, that's a conversation for a discovery call, not a reason to assume this doesn't apply to you. ## Common questions ### Do you only work with the industries listed here? No. These are the industries we've worked with most directly, but the underlying approach applies broadly to businesses with repeatable processes, regardless of sector. ### How do you learn the specifics of a new industry? Through the discovery call and the work itself. We ask direct questions about how your business runs rather than assuming we already know based on a different client. ### Do pricing and process differ by industry? The underlying process is the same across industries, discovery call, scoped plan, phased build. Pricing depends on the specific scope of work, not which industry you're in. ## Where to start If your industry is listed above, that page goes into more detail on the specific challenges and use cases we see most often there. If it isn't listed, a discovery call is the fastest way to find out where AI would actually help in your business, since the twelve industries here are a starting point, not a limit on who we work with. Whichever industry you're in, the first project is usually the same in spirit: find the one process costing your team the most time, fix that first, and use the result to decide what comes next. That approach tends to work better than trying to transform everything about the business in one large initiative. ## Where we work We work with businesses across India's major commercial hubs, including Mumbai and Gujarat (Surat, Ahmedabad, Vadodara, and the Kutch and Saurashtra regions), as well as clients across the US, Australia, New Zealand, and major European markets. The industry challenges above show up in largely the same shape whether a manufacturer is in Pune, Ohio, or Melbourne, though local compliance and market context always factor into how we scope a project. **CTA BUTTON** Find Your Industry Fit --- ## PAGE: https://www.agency.in/industries/manufacturing/ # AI Transformation for Manufacturing: Speed Up Your Quote Process ## Subhead Quotes get delayed, follow-ups get missed, and your team is stretched across the shop floor and the office. AI keeps sales, support, and reporting moving without adding headcount. ## Common challenges Manufacturing businesses often run on a mix of legacy ERP systems, spreadsheets, and manual processes that have been patched together over years. Sales and operations teams are usually small relative to the volume of quotes, orders, and customer questions they handle, which means follow-up is the first thing to slip when the shop floor gets busy. Add multiple product lines and custom specs into the mix, and quoting alone can become a full-time job for someone who also has five other responsibilities. ## Use cases ### Faster Quote Turnaround AI drafts and tracks quotes based on past pricing and specs, so nothing sits in an inbox for days waiting on a response. ### Automated Order Follow-Ups Customers get status updates automatically, without your team having to chase every order manually through production. ### Inventory and Lead Visibility in One Place See what's moving and who's ready to buy, without pulling reports by hand from three different systems. ### Faster RFQ Response Incoming requests for quotes get triaged and routed automatically, so urgent ones don't wait behind routine ones. ### Fewer Errors in Recurring Orders Repeat orders get checked against past specs automatically, catching mismatches before they reach production. ## Why Agency.in We've worked with manufacturing and industrial businesses that run on legacy systems, not just modern SaaS stacks, so we build around what you already have instead of asking you to replace your ERP. ## Where we work This work spans manufacturing clusters in Gujarat, Maharashtra, and Tamil Nadu, as well as industrial hubs in the US Midwest, manufacturing-heavy regions of Germany and Central Europe, and Australia. Legacy ERP setups and multi-plant operations show up in similar ways across all of these markets. ## What this looks like day to day In practice, this usually means your sales team gets a scored, prioritized list of open quotes each morning, your customers get automatic status updates without anyone typing them by hand, and your ops lead can see exactly where a stuck order is sitting without calling the shop floor to ask. Over time, the same visibility extends to spotting patterns, like which customers consistently order late in the quarter, that used to only show up after someone noticed a trend by accident. ## What's included - A working session to map your current tools and workflows - A scoped plan for the highest-impact opportunity first - Integration built inside the systems you already use - Testing against real scenarios from your business before launch - A support window after launch to catch and fix issues ## Getting started Most manufacturing engagements start with a discovery call to understand your specific workflows, followed by a focused first project on whichever bottleneck is costing you the most time. There's no requirement to commit to a large rollout before seeing whether the approach actually fits your business. ## A common pitfall to avoid The most common mistake we see in manufacturing is trying to automate everything at once instead of starting with the single process causing the most pain. A focused first project, proven and adjusted based on real results, is almost always faster to get right than a sprawling rollout attempted all at once. ## Common questions ### Do you work with legacy ERP systems? Yes. Most manufacturers we work with run on systems that are years old, and we build integrations around what's already in place. ### Does this require changing our production process? No. This layers on top of sales, support, and reporting. Production workflows stay exactly as they are. ### Can this handle custom or configured products, not just standard SKUs? Yes, though it takes a bit more setup upfront to capture the specific variables that affect your quoting and specs. ### What's a typical timeline to get this running? Most manufacturing engagements start showing results within four to six weeks, depending on how many systems need to connect. ### How is pricing structured for this? Pricing depends on scope, and you'll see clear numbers before committing to anything. Many engagements start with a smaller, defined project rather than a large upfront commitment. **CTA BUTTON** Speed Up Your Quote Process --- ## PAGE: https://www.agency.in/industries/healthcare/ # AI Transformation for Healthcare: Reduce Your No-Show Rate ## Subhead Appointment scheduling, patient questions, and follow-ups take real time away from patient care. AI handles the administrative load so your team can focus on people. ## Common challenges Healthcare practices are often understaffed on the administrative side relative to patient volume. Front-desk staff juggle scheduling, insurance questions, and phone calls simultaneously, and it's usually the follow-up calls and reminders that get dropped first when things get busy. That directly shows up as no-shows and gaps in preventive follow-up that a fully staffed front desk would normally catch. ## Use cases ### Scheduling and Reminders That Run Themselves Fewer no-shows and less time spent on the phone confirming appointments one by one. ### Instant Answers to Common Patient Questions AI handles routine questions about hours, insurance, and appointment availability, day or night. ### Faster Follow-Up on Inquiries New patient inquiries get a timely response automatically, instead of waiting for someone to have a free moment. ### Reduced No-Show Rates Automated, timely reminders sent through the channel patients actually respond to, not just a single email. ### Simpler Insurance Question Handling Common insurance and billing questions get answered instantly instead of tying up front-desk phone lines. ## Why Agency.in We build with data privacy and compliance in mind from the start, using the systems you already run, so adopting AI doesn't mean introducing new compliance risk into your practice. That includes keeping patient conversations out of public AI tools like ChatGPT, using systems your practice actually controls instead. ## Where we work We work with healthcare practices in Karnataka and Maharashtra alongside clinics and practice groups in the US, Australia, New Zealand, and parts of Europe, where patient data handling requirements differ but the administrative bottleneck looks nearly identical. ## What this looks like day to day Your front desk gets a lighter phone load because routine questions are already answered before they reach a person, patients get reminders that actually reduce no-shows, and new inquiries get a fast first response even outside office hours. Staff spend more of their shift on patients actually in the building rather than administrative back-and-forth that a system can handle just as well. ## What's included - A working session to map your current tools and workflows - A scoped plan for the highest-impact opportunity first - Integration built inside the systems you already use - Testing against real scenarios from your business before launch - A support window after launch to catch and fix issues ## Getting started Most healthcare engagements start with a discovery call to understand your specific workflows, followed by a focused first project on whichever bottleneck is costing you the most time. There's no requirement to commit to a large rollout before seeing whether the approach actually fits your business. ## A common pitfall to avoid The most common mistake we see in healthcare is trying to automate everything at once instead of starting with the single process causing the most pain. A focused first project, proven and adjusted based on real results, is almost always faster to get right than a sprawling rollout attempted all at once. ## Common questions ### Is patient data kept private and compliant? Yes. We build with data privacy requirements in mind from the first conversation, not as an afterthought. ### Will this replace our front-desk staff? No. It absorbs the repetitive scheduling and question load so your staff can focus on patients who are actually in front of them. ### Can this integrate with our practice management software? In most cases, yes. We connect to the systems you're already using rather than requiring a new platform. ### How do patients feel about automated reminders? Generally well, as long as the reminders are timely and the option to reach a person remains easy and obvious. ### How is pricing structured for this? Pricing depends on scope, and you'll see clear numbers before committing to anything. Many engagements start with a smaller, defined project rather than a large upfront commitment. **CTA BUTTON** Reduce Your No-Show Rate --- ## PAGE: https://www.agency.in/industries/financial-services/ # AI Transformation for Financial Services: Speed Up Client Onboarding ## Subhead Client questions, onboarding paperwork, and compliance follow-ups all take time your team could spend on higher-value work. Built for financial advisors, wealth boutiques, mutual fund distributors, loan brokers, and small NBFCs, not just large institutions. ## Common challenges Financial services businesses, independent financial advisors, wealth management boutiques, mutual fund distributors (MFDs), loan brokers and DSAs, and small NBFCs, deal with a high volume of routine questions and paperwork alongside strict compliance requirements. That combination makes teams cautious about adopting new tools, even when the manual process is clearly costing time every week. Onboarding in particular tends to stretch out simply because documents sit incomplete while nobody has time to chase them down. ## Use cases ### Faster Client Onboarding AI guides new clients through the paperwork and follow-ups automatically, cutting the back and forth that usually stretches onboarding out. ### Instant Answers to Common Questions Reduce the repeated back and forth on routine account questions that eat up advisor time. ### Consistent Follow-Up on Every Lead No prospect falls through the cracks between meetings, even during a busy quarter. ### Document Collection That Doesn't Stall Automated reminders for missing paperwork, so files don't sit incomplete for weeks. ### Faster Internal Review Cycles Complete files move to review faster because the collection process isn't waiting on manual chasing. ## Why Agency.in We work within your existing compliance and security requirements. We don't ask you to change platforms or introduce new risk to adopt AI, since that's usually the first objection in this industry. That also means keeping client financial data out of public AI tools, in systems your firm actually owns. ## Where we work We've worked with financial services clients based in Maharashtra and Karnataka, as well as firms in the US, Australia, and Europe, where compliance frameworks differ (SEBI versus SEC versus ASIC versus FCA, for instance) but the underlying onboarding and follow-up bottlenecks are largely the same. ## What this looks like day to day Onboarding paperwork gets chased automatically instead of falling to whoever remembers, routine account questions get answered without pulling an advisor away from client work, and every open lead gets a follow-up on schedule instead of depending on someone's memory. Advisors spend more of their week on actual advice and relationship building, which is the part of the job that AI can't and shouldn't replace. ## What's included - A working session to map your current tools and workflows - A scoped plan for the highest-impact opportunity first - Integration built inside the systems you already use - Testing against real scenarios from your business before launch - A support window after launch to catch and fix issues ## Getting started Most financial services engagements start with a discovery call to understand your specific workflows, followed by a focused first project on whichever bottleneck is costing you the most time. There's no requirement to commit to a large rollout before seeing whether the approach actually fits your business. ## A common pitfall to avoid The most common mistake we see in financial services is trying to automate everything at once instead of starting with the single process causing the most pain. A focused first project, proven and adjusted based on real results, is almost always faster to get right than a sprawling rollout attempted all at once. ## Common questions ### How do you handle compliance requirements? We build within your existing compliance framework from the start, rather than treating it as a constraint to work around later. ### Can this integrate with our existing CRM? Yes, in most cases. We build inside the systems you already use rather than requiring a new platform. ### Is this suitable for regulated advisory businesses specifically? Yes, with the caveat that specific automations are scoped around your compliance obligations from the outset. ### Does this reduce the advisor's role in client relationships? No. It removes the paperwork and routine question load so advisors have more time for the relationship work that actually matters. ### How is pricing structured for this? Pricing depends on scope, and you'll see clear numbers before committing to anything. Many engagements start with a smaller, defined project rather than a large upfront commitment. **CTA BUTTON** Speed Up Client Onboarding --- ## PAGE: https://www.agency.in/industries/insurance/ # AI Transformation for Insurance: Protect Your Renewal Rate ## Subhead Policy inquiries, claims follow-ups, and renewal reminders eat up hours every week. Built for insurance agencies and brokers, not insurers themselves, so AI keeps clients informed and your team focused on the conversations that need a person. ## Common challenges Insurance agencies and brokers juggle policy questions, renewals, and claims status updates across a large book of clients, often with a small team. Renewal reminders and claims follow-ups are usually the first things to slip when the team gets busy, and both directly affect retention, since a client who feels forgotten during a claim rarely renews without being asked why they should. ## Use cases ### Faster First Response on Inquiries AI answers common policy questions instantly, day or night, instead of making clients wait for office hours. ### Renewal Reminders That Don't Get Missed Clients get timely reminders automatically, protecting retention without your team tracking every renewal date by hand. ### Lead Scoring for Agents Your agents spend time on the prospects most likely to convert, instead of working every lead equally. ### Claims Status Updates Without the Phone Tag Clients get automatic status updates on open claims, cutting down the calls asking where things stand. ### Cross-Sell Opportunities Surfaced Automatically Policy gaps and upsell opportunities get flagged instead of relying on an agent to notice them manually. ## Why Agency.in We've worked directly with insurance clients on this exact problem, including cases where a self-built AI attempt stalled out before we stepped in to get it actually working. We also keep client policy and claims data inside systems you control, not routed through a public AI tool. ## Where we work This applies to agencies across Maharashtra, Karnataka, Gujarat, and Tamil Nadu, and equally to brokers and agencies in the US, Australian, and European insurance markets, where renewal cycles and claims follow-up create the same retention pressure regardless of local regulation. ## What this looks like day to day Clients get renewal reminders before the deadline instead of after, agents open their day with a ranked list of the leads worth calling first, and claims status questions get answered without someone digging through a system to find the answer. Retention conversations happen proactively, before a policy lapses, instead of reactively, after a client has already decided to leave. ## What's included - A working session to map your current tools and workflows - A scoped plan for the highest-impact opportunity first - Integration built inside the systems you already use - Testing against real scenarios from your business before launch - A support window after launch to catch and fix issues ## Getting started Most insurance engagements start with a discovery call to understand your specific workflows, followed by a focused first project on whichever bottleneck is costing you the most time. There's no requirement to commit to a large rollout before seeing whether the approach actually fits your business. ## A common pitfall to avoid The most common mistake we see in insurance is trying to automate everything at once instead of starting with the single process causing the most pain. A focused first project, proven and adjusted based on real results, is almost always faster to get right than a sprawling rollout attempted all at once. ## Common questions ### We tried building something like this ourselves and it stalled. Can you pick that up? Yes. We've stepped into exactly that situation before, including cases where a self-built attempt hit a wall. ### Does this work for both individual and commercial lines? Yes, the underlying approach works for both. The specific setup depends on your book of business. ### Can it flag clients likely to lapse before renewal? Yes, based on engagement and payment patterns, so agents can reach out proactively rather than after the fact. ### How does this affect our agents' commission or workflow? It doesn't change compensation structures. It changes how leads and renewals are surfaced so agents work more efficiently. ### How is pricing structured for this? Pricing depends on scope, and you'll see clear numbers before committing to anything. Many engagements start with a smaller, defined project rather than a large upfront commitment. **CTA BUTTON** Protect Your Renewal Rate --- ## PAGE: https://www.agency.in/industries/retail/ # AI Transformation for Retail: Answer Customers at 2am, Not Just 2pm ## Subhead Customers expect an instant answer, whether it's 2pm or 2am. This applies just as directly to D2C food and beverage brands as any other retail category, AI handles the repetitive questions and keeps your marketing personal at scale. ## Common challenges Retail businesses, including D2C food and beverage brands, face customer questions around the clock, but support teams work business hours. The gap between when customers ask and when someone answers is where trust erodes fastest, especially for order status and return questions, which make up the bulk of incoming support volume during busy seasons. ## Use cases ### 24/7 Customer Questions, Answered AI chatbots handle order status, returns, and common questions instantly, any time a customer reaches out. ### Personalized Offers Without the Manual Work Every customer gets a message built around what they've actually bought or browsed, not a generic blast. ### Inventory-Aware Marketing Campaigns adjust automatically based on what's actually in stock, so you're not promoting something you can't fulfill. ### Faster Returns and Exchange Handling Common return questions get resolved instantly, instead of sitting in a queue during peak season. ### Abandoned Cart Recovery Automated, personalized follow-ups for customers who left items in their cart, timed to when they're most likely to respond. ## Why Agency.in We build on the tools retail teams already use, so you're not ripping out your POS or ecommerce platform to get started with AI. That matters most during peak season, when the last thing a retail team needs is a platform migration on top of everything else. ## Where we work We work with retail brands based in Maharashtra, Karnataka, and Gujarat selling domestically and internationally, alongside retailers in the US, Australia, New Zealand, and Europe managing similar 24/7 customer expectations across time zones. ## What this looks like day to day Customers get an answer on order status at midnight instead of waiting until morning, marketing emails reflect what someone actually browsed instead of a generic weekly blast, and return questions get resolved without adding to your support queue. During peak season, when volume spikes hardest, the automated layer absorbs most of the routine questions so your team isn't overwhelmed exactly when it matters most. ## What's included - A working session to map your current tools and workflows - A scoped plan for the highest-impact opportunity first - Integration built inside the systems you already use - Testing against real scenarios from your business before launch - A support window after launch to catch and fix issues ## Getting started Most retail engagements start with a discovery call to understand your specific workflows, followed by a focused first project on whichever bottleneck is costing you the most time. There's no requirement to commit to a large rollout before seeing whether the approach actually fits your business. ## A common pitfall to avoid The most common mistake we see in retail is trying to automate everything at once instead of starting with the single process causing the most pain. A focused first project, proven and adjusted based on real results, is almost always faster to get right than a sprawling rollout attempted all at once. ## Common questions ### Does this work with Shopify or our existing ecommerce platform? Yes, in most cases. We connect to the platform you're already running rather than requiring a switch. ### Can it handle order status questions accurately? Yes, once connected to your order system, it can pull real-time status instead of giving a generic answer. ### Does personalization require a large customer database? It helps, but even a smaller list benefits once purchase and browse history are being tracked and used. ### How does this handle peak season volume, like holidays? It scales automatically, since the system isn't limited by how many staff are scheduled that day. ### How is pricing structured for this? Pricing depends on scope, and you'll see clear numbers before committing to anything. Many engagements start with a smaller, defined project rather than a large upfront commitment. **CTA BUTTON** Automate Your Customer Questions --- ## PAGE: https://www.agency.in/industries/real-estate/ # AI Transformation for Real Estate: Never Miss a Lead Again ## Subhead Buyers and renters expect a fast response, and every missed follow-up is a lost deal. AI keeps leads moving without adding to your team's workload. ## Common challenges Real estate leads go cold fast. A buyer who doesn't hear back within an hour often moves on to the next listing or agent, and busy agents juggling showings and paperwork are the ones most likely to miss that window, especially during a hot market when inquiry volume spikes across every listing at once. ## Use cases ### Instant Response to Every Inquiry AI answers property questions the moment someone reaches out, instead of waiting for an agent to be free. ### Lead Scoring for Agents Your agents spend time on the leads most likely to close, instead of working every inquiry with equal effort. ### Automated Follow-Up Through the Whole Pipeline No lead goes quiet because someone forgot to check in during a busy week of showings. ### Showing and Viewing Coordination Scheduling requests get handled automatically, cutting down the back-and-forth over available times. ### Listing Updates Sent Automatically Buyers matching specific criteria get notified the moment a relevant new listing goes live. ## Why Agency.in We've worked with real estate businesses that struggled to find a vendor who could even get their website right, let alone add AI on top of it. ## Where we work This covers real estate developers and brokerages in Maharashtra, Karnataka, and Gujarat, as well as agencies in the US, Australia, and Europe, where fast response to inbound inquiries is just as decisive a factor in closing a deal. ## What this looks like day to day A buyer messaging at 9pm about a listing gets an immediate, accurate answer, agents start their day with a ranked list of the leads worth calling first, and a lead who went quiet three weeks ago still gets a scheduled follow-up instead of falling off the list entirely. Showings get booked without the usual five-message back-and-forth over timing, freeing up agent time for the parts of the job that actually close deals. ## What's included - A working session to map your current tools and workflows - A scoped plan for the highest-impact opportunity first - Integration built inside the systems you already use - Testing against real scenarios from your business before launch - A support window after launch to catch and fix issues ## Getting started Most real estate engagements start with a discovery call to understand your specific workflows, followed by a focused first project on whichever bottleneck is costing you the most time. There's no requirement to commit to a large rollout before seeing whether the approach actually fits your business. ## A common pitfall to avoid The most common mistake we see in real estate is trying to automate everything at once instead of starting with the single process causing the most pain. A focused first project, proven and adjusted based on real results, is almost always faster to get right than a sprawling rollout attempted all at once. ## Common questions ### Can this integrate with our MLS or listing platform? In most cases, yes. We connect to the systems you're already using to pull accurate, current listing information. ### Will leads know they're talking to AI first? That's your call. Many agencies are upfront about it, and it still gets a much faster response than waiting for a person. ### Does this work for both buyer and seller leads? Yes, though the specific follow-up sequences differ depending on where each lead is in their process. ### How quickly can this go live for our agency? Most real estate engagements are running within three to four weeks, depending on how many listing sources need to connect. ### How is pricing structured for this? Pricing depends on scope, and you'll see clear numbers before committing to anything. Many engagements start with a smaller, defined project rather than a large upfront commitment. **CTA BUTTON** Never Miss a Lead Again --- ## PAGE: https://www.agency.in/industries/ca-firms/ # AI Transformation for CA & Compliance Firms: Stop Chasing Documents ## Subhead Deadline chasing and document collection eat up hours your team could spend on actual advisory work. AI keeps compliance moving and clients informed, without adding headcount during filing season. ## Common challenges CA and CS firms run on a compliance calendar that doesn't move, GST filings, ROC deadlines, advance tax dates, and every one of them depends on clients sending documents on time, which they rarely do without repeated follow-up. During filing season, a small team ends up spending more time chasing paperwork than doing the actual advisory work clients are paying for. ## Use cases ### Automated Document Chasing Clients get reminders for missing documents automatically, instead of your team calling the same person three times before a deadline. ### Compliance Deadline Tracking Every client's filing dates are tracked and flagged automatically, so nothing slips through during a busy season. ### Instant Answers to Routine Questions "Has my return been filed?" and "what documents do I still need to send?" get answered instantly, without pulling a team member off billable work. ### Faster Client Onboarding New client paperwork and KYC documents get collected and tracked automatically, instead of sitting in an email thread. ### Clear Visibility Across Your Client Book See exactly which clients are compliant, which are at risk, and which are waiting on you, without checking a spreadsheet by hand. ## Why Agency.in We've built websites and systems for CA firms directly, including SASVA & Associates in Surat, so we understand the actual compliance calendar your practice runs on, not a generic professional-services template. ## Where we work This applies to CA, CS, and compliance practices across Gujarat, including Surat and Ahmedabad, and equally to firms in Mumbai and other Indian cities running the same GST, ROC, and income tax compliance calendar. ## What this looks like day to day Your team opens the day with a list of clients whose documents are overdue, already flagged and reminded automatically, clients get instant answers to routine status questions without calling the office, and partners spend more of filing season on advisory work instead of chasing paperwork. ## What's included - A working session to map your current tools and workflows - A scoped plan for the highest-impact opportunity first - Integration built inside the systems you already use - Testing against real scenarios from your business before launch - A support window after launch to catch and fix issues ## Getting started Most ca & compliance firms engagements start with a discovery call to understand your specific workflows, followed by a focused first project on whichever bottleneck is costing you the most time. There's no requirement to commit to a large rollout before seeing whether the approach actually fits your business. ## A common pitfall to avoid The most common mistake we see in ca & compliance firms is trying to automate everything at once instead of starting with the single process causing the most pain. A focused first project, proven and adjusted based on real results, is almost always faster to get right than a sprawling rollout attempted all at once. ## Common questions ### Do you only work with CA firms, or CS and compliance firms too? All three. The underlying problem, chasing documents and deadlines, looks the same across CA, CS, and compliance practices. ### Can this handle GST, ROC, and income tax deadlines together? Yes. Most firms track all three calendars for their clients, and the automation is built to handle whichever mix your practice manages. ### Will this replace our client relationship manager? No. It removes the repetitive chasing and status-answering so your team spends more time on the advisory conversations that actually need a person. ### Can you show us a live example? Yes. We've built and delivered a site for SASVA & Associates, a CA firm in Surat, and can walk you through what that looked like. ### How is pricing structured for this? Pricing depends on scope, and you'll see clear numbers before committing to anything. Many engagements start with a smaller, defined project rather than a large upfront commitment. **CTA BUTTON** Stop Chasing Documents Manually --- ## PAGE: https://www.agency.in/industries/agri-export/ # AI Transformation for Agri-Export Trading: Respond to Buyers Faster ## Subhead A slow reply to an international buyer can cost you a container-load order. AI keeps inquiries, certificates, and seasonal coordination moving, so your export business runs on more than one person's memory. ## Common challenges Agri-export trading runs on tight harvest windows and international buyers who are usually comparing several suppliers at once. A slow response to an inquiry, a missed phytosanitary certificate deadline, or a stockout nobody flagged in time can lose a deal that took months to build. Small and mid-size export houses rarely have the staff to track all of it manually during peak season. ## Use cases ### Instant Response to International Buyer Inquiries Buyers get a fast, accurate first response any time zone, any hour, instead of waiting for your team to clear a backlog. ### Certificate and Compliance Tracking APEDA registration, phytosanitary certificates, and FSSAI documentation get tracked automatically, so nothing lapses right before a shipment. ### Seasonal Inventory and Buyer Matching See what's available and who's waiting on it in one place during harvest season, instead of coordinating by phone and memory. ### Visibility on AI and Search for International Buyers We optimize your site so buyers searching on Google or asking ChatGPT for suppliers in your category can actually find you. ### Automated Shipment and Order Status Updates Buyers get status updates on their order automatically, cutting down the email back-and-forth during a busy season. ## Why Agency.in We run our own agri-export D2C business, MangoShop.in, so this isn't theoretical for us. We've dealt with the same harvest-season chaos and buyer-response pressure firsthand. ## Where we work This applies to agri-export trading houses in the Konkan belt (Ratnagiri, Devgad) near Mumbai, and Kutch and Saurashtra in Gujarat, including spice trading around Unjha, as well as other Indian agri-export clusters running the same seasonal and compliance pressures. ## What this looks like day to day An international buyer messaging at 11pm IST gets an accurate response before your team is even awake, certificate renewal dates get flagged weeks ahead instead of the week of a shipment, and your team spends harvest season managing actual orders instead of email threads. ## What's included - A working session to map your current tools and workflows - A scoped plan for the highest-impact opportunity first - Integration built inside the systems you already use - Testing against real scenarios from your business before launch - A support window after launch to catch and fix issues ## Getting started Most agri-export trading engagements start with a discovery call to understand your specific workflows, followed by a focused first project on whichever bottleneck is costing you the most time. There's no requirement to commit to a large rollout before seeing whether the approach actually fits your business. ## A common pitfall to avoid The most common mistake we see in agri-export trading is trying to automate everything at once instead of starting with the single process causing the most pain. A focused first project, proven and adjusted based on real results, is almost always faster to get right than a sprawling rollout attempted all at once. ## Common questions ### Do you actually understand agri-export, or is this generic advice? We run our own agri-export business, MangoShop.in, so this is built from direct experience with the same harvest-season and buyer-response pressures. ### Can this handle multiple languages for international buyers? In many cases yes, depending on which markets you're exporting to. We'll confirm coverage during setup. ### Does this help with domestic buyers too, or only export? Both. The instant-response and inventory visibility benefits apply whether the buyer is down the road or overseas. ### Can this integrate with our existing export documentation process? Yes, we build around your current certification and compliance tracking rather than replacing it. ### How is pricing structured for this? Pricing depends on scope, and you'll see clear numbers before committing to anything. Many engagements start with a smaller, defined project rather than a large upfront commitment. **CTA BUTTON** Respond to Buyers Faster --- ## PAGE: https://www.agency.in/industries/education-consultants/ # AI Transformation for Education Consultants: Respond Faster ## Subhead A family comparing three consultants picks whoever responds first and keeps every document on track. AI keeps your inquiries and applications moving without adding staff during peak admission season. ## Common challenges Education consultants deal with a flood of inquiries during application season, and families are almost always comparing multiple consultants at once. A slow first response loses the client before a conversation even starts. Once a student signs on, application document collection across multiple universities becomes its own full-time job, one that's easy to fall behind on. ## Use cases ### Instant Response to New Inquiries Families get an accurate first response immediately, before they've moved on to the next consultant on their list. ### Application Document Collection That Doesn't Stall Automated reminders for missing transcripts, essays, and forms, so files don't sit incomplete close to a deadline. ### Deadline Tracking Across Multiple Universities Every student's application deadlines, across every university they're applying to, get tracked in one place. ### Instant Answers to Common Questions Fees, timelines, and process questions get answered immediately, freeing your counselors for the conversations that need real guidance. ### Lead Scoring for Counselors Your counselors spend time on the families most likely to enroll, instead of working every inquiry with equal effort. ## Why Agency.in We've worked with businesses where speed of response is the entire competitive advantage, real estate and insurance follow the same pattern, and education consulting is no different. ## Where we work This applies to education consultants and study-abroad counselors in Mumbai, across Gujarat, and in any Indian city where families are comparing consultants side by side before committing. ## What this looks like day to day A family inquiring at 9pm gets an accurate response that night instead of the next morning, counselors start their day with a ranked list of the families most likely to enroll, and a document that would have gone unnoticed for a week gets flagged and chased automatically. ## What's included - A working session to map your current tools and workflows - A scoped plan for the highest-impact opportunity first - Integration built inside the systems you already use - Testing against real scenarios from your business before launch - A support window after launch to catch and fix issues ## Getting started Most education consultants engagements start with a discovery call to understand your specific workflows, followed by a focused first project on whichever bottleneck is costing you the most time. There's no requirement to commit to a large rollout before seeing whether the approach actually fits your business. ## A common pitfall to avoid The most common mistake we see in education consultants is trying to automate everything at once instead of starting with the single process causing the most pain. A focused first project, proven and adjusted based on real results, is almost always faster to get right than a sprawling rollout attempted all at once. ## Common questions ### Does this work for both study-abroad and domestic admissions consulting? Yes, the underlying approach works for both. The specific university and deadline tracking adapts to whichever you focus on. ### Can it track deadlines across many different universities at once? Yes, that's exactly the kind of tracking this is built for, since most students apply to several schools with different deadlines. ### Will this feel impersonal to families going through a stressful process? No. It handles the repetitive tracking and reminders so your counselors have more time for the personal guidance that actually matters to a family. ### How fast can this go live before the next admission season? Most education-consulting engagements are running within three to four weeks, well ahead of peak inquiry season if you start early. ### How is pricing structured for this? Pricing depends on scope, and you'll see clear numbers before committing to anything. Many engagements start with a smaller, defined project rather than a large upfront commitment. **CTA BUTTON** Respond to Families Faster --- ## PAGE: https://www.agency.in/industries/food-compliance-consultants/ # AI Transformation for Food Compliance Consultants: Track Every Renewal ## Subhead FSSAI licenses, HACCP audits, and ISO certifications all run on paperwork and deadlines. AI keeps client documents and compliance dates on track without adding headcount. ## Common challenges Food compliance consultants help restaurants, manufacturers, and exporters navigate FSSAI licensing, HACCP, and ISO certification, all of which run on document collection and inspection deadlines. Small consultancies often juggle dozens of client files at once, and a missed renewal date or an incomplete document set is what causes a client's license to lapse, not a lack of expertise. ## Use cases ### Automated Document Collection Clients get reminders for missing compliance documents automatically, instead of your team calling to ask again. ### License and Certification Renewal Tracking FSSAI, HACCP, and ISO renewal dates get tracked and flagged well ahead of time, not the week they're due. ### Instant Answers to Common Compliance Questions Clients get quick answers on requirements and timelines without pulling a consultant off billable work. ### Clear Visibility Across Your Client Book See which clients are compliant, which are at risk, and which are waiting on you, all in one place. ### Faster Onboarding for New Clients New client documentation gets collected and tracked automatically from the first engagement. ## Why Agency.in This runs on the same document-chasing and deadline-tracking problem we've already solved for CA and compliance firms, just applied to food-sector certifications instead of tax filings. ## Where we work This applies to food compliance consultancies working with restaurants, manufacturers, and exporters across Mumbai, Gujarat, and other Indian food-sector hubs. ## What this looks like day to day Your team opens the day with a list of clients whose renewal dates are approaching, already flagged automatically, and clients get instant answers to routine questions instead of waiting for a callback. ## What's included - A working session to map your current tools and workflows - A scoped plan for the highest-impact opportunity first - Integration built inside the systems you already use - Testing against real scenarios from your business before launch - A support window after launch to catch and fix issues ## Getting started Most food compliance consultants engagements start with a discovery call to understand your specific workflows, followed by a focused first project on whichever bottleneck is costing you the most time. There's no requirement to commit to a large rollout before seeing whether the approach actually fits your business. ## A common pitfall to avoid The most common mistake we see in food compliance consultants is trying to automate everything at once instead of starting with the single process causing the most pain. A focused first project, proven and adjusted based on real results, is almost always faster to get right than a sprawling rollout attempted all at once. ## Common questions ### Do you work with consultancies handling multiple certification types? Yes, FSSAI, HACCP, and ISO tracking can all run through the same system regardless of how many certification types your practice covers. ### Can this help us take on more clients without hiring? That's usually the direct result, since the repetitive chasing and tracking is what limits how many client files a small team can manage well. ### Does this work for consultants serving exporters specifically? Yes, and it pairs naturally with export-specific tracking like APEDA and phytosanitary certification if your clients need both. ### How is pricing structured for this? Pricing depends on scope, and you'll see clear numbers before committing to anything. Many engagements start with a smaller, defined project rather than a large upfront commitment. **CTA BUTTON** Track Every Renewal Automatically --- ## PAGE: https://www.agency.in/industries/pharma-distribution/ # AI Transformation for Pharma Distribution & CMOs: Simplify Coordination ## Subhead Stockist coordination, regulatory documentation, and distributor management shouldn't depend on one person's memory. AI keeps pharma distribution and contract manufacturing moving without adding headcount. ## Common challenges Pharma distributors, stockists, and contract manufacturers (CMOs) run on a mix of regulatory documentation, distributor coordination, and order management that gets more complex as a business grows. Unlike patient-facing healthcare, the bottleneck here is usually supply chain visibility and compliance paperwork, not appointment scheduling, and most generic AI advice misses that distinction entirely. ## Use cases ### Distributor and Stockist Order Coordination Order status and inventory questions from distributors get answered automatically, instead of tying up a sales coordinator all day. ### Regulatory Documentation Tracking Drug license renewals, GST compliance, and other regulatory paperwork get tracked and flagged ahead of deadlines. ### Faster Quote and Order Turnaround Quotes for distributors and institutional buyers go out faster, based on your actual pricing and past orders. ### Inventory Visibility Across Locations See stock levels and open orders in one place, without calling each stockist or warehouse individually. ### Instant Answers for Common Distributor Questions Order status, dispatch timelines, and product availability questions get answered instantly. ## Why Agency.in Most AI advice aimed at healthcare assumes a patient-facing clinic. Distribution and contract manufacturing run on a completely different set of problems, supply chain and paperwork, not scheduling, and we build for that difference specifically. ## Where we work This applies to pharma distributors, stockists, and contract manufacturers in Mumbai and Ahmedabad, two of India's major pharma distribution and manufacturing hubs, scoped to small and mid-size operations rather than the large listed pharma majors. ## What this looks like day to day Your sales coordinator stops fielding the same stockist order-status calls all day, regulatory renewal dates get flagged weeks ahead instead of the week they're due, and quotes for distributors go out same-day instead of sitting in a queue. ## What's included - A working session to map your current tools and workflows - A scoped plan for the highest-impact opportunity first - Integration built inside the systems you already use - Testing against real scenarios from your business before launch - A support window after launch to catch and fix issues ## Getting started Most pharma distribution & cmos engagements start with a discovery call to understand your specific workflows, followed by a focused first project on whichever bottleneck is costing you the most time. There's no requirement to commit to a large rollout before seeing whether the approach actually fits your business. ## A common pitfall to avoid The most common mistake we see in pharma distribution & cmos is trying to automate everything at once instead of starting with the single process causing the most pain. A focused first project, proven and adjusted based on real results, is almost always faster to get right than a sprawling rollout attempted all at once. ## Common questions ### Is this different from your general healthcare page? Yes, deliberately. That page covers patient-facing practices like scheduling and patient questions. This one covers distribution, stockist coordination, and regulatory paperwork, a different set of problems entirely. ### Do you work with CMOs specifically, not just distributors? Yes, the underlying coordination and documentation tracking applies to both, adjusted for your specific operation. ### Can this help with drug license and regulatory renewal tracking? Yes, renewal dates and required documentation get tracked and flagged automatically, so nothing lapses unnoticed. ### Does this work for smaller distributors, or only larger operations? This is built for small and mid-size distribution and manufacturing operations specifically, not the large listed pharma companies. ### How is pricing structured for this? Pricing depends on scope, and you'll see clear numbers before committing to anything. Many engagements start with a smaller, defined project rather than a large upfront commitment. **CTA BUTTON** Simplify Distributor Coordination --- ## PAGE: https://www.agency.in/industries/chemicals-export/ # AI Transformation for Chemical & Petrochemical Traders: Reach International Buyers ## Subhead Export-oriented chemical traders live or die on being findable by international buyers and fast on documentation. AI handles both without adding headcount. ## Common challenges Chemical and petrochemical trading businesses, especially the export-oriented ones concentrated around Vadodara, Dahej, and Ankleshwar, compete on two things: whether an international buyer can find them at all, and how fast they respond once they do. Compliance documentation, safety data sheets and export certifications, adds another layer of paperwork that's easy to fall behind on during a busy quarter. ## Use cases ### Visibility for International Buyers on AI and Search We optimize your site so buyers searching on Google or asking ChatGPT for suppliers in your category can actually find you, not just your competitors. ### Faster Response to Buyer Inquiries International buyer inquiries get an accurate first response immediately, regardless of time zone. ### Export Documentation Tracking Safety data sheets, export certifications, and compliance paperwork get tracked and flagged ahead of shipment deadlines. ### Faster Quote Turnaround Quotes for buyers go out faster, based on your actual pricing and product specifications. ### Inventory and Order Visibility See what's available and what's committed in one place, without pulling numbers from three different systems. ## Why Agency.in This pairs our GEO and AEO work directly with a genuine export sales problem: it doesn't matter how good your pricing is if a buyer searching for your product category never finds you in the first place. ## Where we work This applies to chemical and petrochemical trading businesses in the Vadodara, Dahej, and Ankleshwar belt in Gujarat, particularly export-oriented mid-size traders and manufacturers. ## What this looks like day to day An international buyer finds you through a Google or ChatGPT search instead of a competitor, gets an accurate quote within hours instead of days, and your team spends less time chasing safety documentation before a shipment deadline. ## What's included - A working session to map your current tools and workflows - A scoped plan for the highest-impact opportunity first - Integration built inside the systems you already use - Testing against real scenarios from your business before launch - A support window after launch to catch and fix issues ## Getting started Most chemical & petrochemical traders engagements start with a discovery call to understand your specific workflows, followed by a focused first project on whichever bottleneck is costing you the most time. There's no requirement to commit to a large rollout before seeing whether the approach actually fits your business. ## A common pitfall to avoid The most common mistake we see in chemical & petrochemical traders is trying to automate everything at once instead of starting with the single process causing the most pain. A focused first project, proven and adjusted based on real results, is almost always faster to get right than a sprawling rollout attempted all at once. ## Common questions ### How is this different from generic SEO services? Generic SEO targets search rankings alone. We also optimize specifically for AI answer engines like ChatGPT and Perplexity, which is increasingly how international buyers are finding suppliers. ### Do you work with both traders and manufacturers? Yes, the underlying visibility, response speed, and documentation tracking problems look similar for both. ### Can this handle safety data sheet and export certification tracking? Yes, these get tracked and flagged the same way we handle compliance deadlines for other regulated industries. ### Is this only useful for businesses exporting internationally? It's strongest there, but faster response and documentation tracking help with domestic B2B buyers too. ### How is pricing structured for this? Pricing depends on scope, and you'll see clear numbers before committing to anything. Many engagements start with a smaller, defined project rather than a large upfront commitment. **CTA BUTTON** Get Found by International Buyers --- ## PAGE: https://www.agency.in/solutions/ # AI Solutions ## Subhead Every solution here solves one specific, well-defined problem, not a broad department's worth of work. If a service page describes an area of your business, think of these as the specific tactic inside that area you'd actually implement first. ## Our AI Solutions for Businesses ### AI Lead Scoring Rank every lead by likelihood to buy, based on real behavior and your own deal history, not gut feeling. Works inside the CRM your sales team already uses, so there's no new tool for reps to learn. ### Custom AI Chatbots A chatbot trained on your own product and support history, not a generic script, answering real questions across your website, WhatsApp, or helpdesk. Built on infrastructure you control, not routed through a public AI tool. ### AI-Powered SOP & Process Automation Turn documented SOPs into daily execution, with automated checks that confirm each step actually happened, instead of a process that only exists on paper. ### AI Integration for HubSpot and Zoho Add AI lead scoring, follow-ups, and reporting directly inside the CRM you already use, no platform switch, no retraining, and no second system for your team to maintain. ### AI-Powered Content and SEO Automation Publish consistently with AI-drafted content optimized for search engines and AI answer engines like ChatGPT and Perplexity, without hiring a dedicated content team. Each piece is built around what your actual customers search for, not generic topics pulled from thin air. ## Why start with a specific solution A broad goal like "improve our sales process" is hard to scope and hard to price. "Score our leads by likelihood to buy" is neither. Solutions pages exist because most engagements work better starting narrow and proven, then expanding, rather than trying to transform an entire department in one project. Each one below can be scoped, built, and showing results within a few weeks, not months. ## How to pick the right one If you already know the specific bottleneck, slow lead follow-up, a support inbox that piles up, a CRM sitting half-used, the matching solution above is usually the fastest way to see results. If you're not sure yet, that's exactly what the free audit is for. We'll tell you which of these fits first, rather than you having to guess, and we won't recommend more than one if the smaller fix is genuinely enough. Most engagements that start with a single solution extend into a second once the first is live and the team has seen what working AI actually looks like in their own tools. ## Common questions ### What's the difference between a service page and a solution page? Service pages (like AI for Sales) cover a broad area of your business. Solution pages go deep on one specific, well-defined tactic within that area, like lead scoring specifically. ### Do I need to pick a solution, or does that get decided during the audit? The free audit usually surfaces which specific solution fits first. These pages exist so you can see what's actually involved before that conversation. ### Can these be combined into one engagement? Yes. Many clients end up using two or three of these together, since they're often built on the same underlying data and systems. ### Do you offer solutions beyond the five listed here? These five are the most common starting points we build, but they're not the only thing we do. If your bottleneck doesn't match any of these exactly, the free audit is the place to describe it and see what fits. **CTA BUTTON** Find Your Starting Point --- ## PAGE: https://www.agency.in/solutions/ai-lead-scoring/ # AI Lead Scoring, Built From Your Own Deal History ## Subhead Not every lead deserves the same amount of attention. AI ranks your leads by how likely they are to buy, so your team calls the right ones first instead of working the list in order. ## What this solves Sales teams often treat every lead the same, calling them in the order they arrived rather than the order they're likely to convert. That means real revenue-ready prospects sometimes wait behind leads that were never going anywhere, simply because of timing. Over a busy month, that misallocation of attention adds up to real missed revenue. ## How it works - We connect to your CRM and existing lead data. - We build a scoring model based on what your best customers actually looked like before they bought. - We test the model against your historical deals to check accuracy. - Your team gets a ranked list, updated automatically as new leads come in. ## Benefits - Less time wasted on leads that were never going to convert - Faster response to the leads most likely to close - A scoring model that improves as more data comes in - Clear visibility into why a lead is scored the way it is - Works inside the CRM your team already uses ## A quick example A US software reseller's team was calling leads strictly in the order they arrived, regardless of fit. After scoring went live, reps started their day with the top ten leads by likelihood to close, and close rates on first-week calls improved measurably within the first full quarter of use. ## Who this is for This is for sales teams with enough lead volume that manually judging quality has become a bottleneck, but not enough headcount to hire a dedicated analyst to do it by hand. ## How we measure success We agree on what success looks like before starting, whether that's time saved, faster response, or fewer errors, and check back against that number rather than declaring victory just because something is technically live. ## What good looks like after 90 days Ninety days into a ai lead scoring, built from your own deal history engagement, the system should be running with little day-to-day attention from your team, refined based on real usage rather than the assumptions we started with. Your team should be able to point to a specific number that changed, fewer manual hours, faster response times, or fewer errors, rather than just a vague sense that things feel better. If it still needs constant hand-holding at that point, something in the setup needs adjusting, and fixing that is on us, not something you should have to work around on your own. ## Common questions ### How accurate is the scoring? It depends on your historical data, but we test the model against past deals before rolling it out, so you can see its accuracy before trusting it. ### Does it work if we don't have much historical data yet? It can start with fewer signals and improve as more data comes in. We're upfront if your current data is too thin to start with. ### Can we see why a lead got a particular score? Yes. The scoring is built to be explainable, not a black box, so your team can see which factors drove a given score. ### How often does the model get retrained? Periodically, as new deal outcomes come in, so the model keeps reflecting what's actually converting rather than staying static. ### Can this start small and expand later? Yes. Most engagements start with a narrow, well-defined scope and expand once the first phase has proven itself, rather than committing to everything at once. ### What if our setup is unusual or non-standard? We test against your actual data and workflows before calling anything finished, specifically so an unusual setup gets caught and addressed during testing, not after launch. **CTA BUTTON** Start Scoring Your Leads --- ## PAGE: https://www.agency.in/solutions/ai-chatbots-customer-support/ # Custom AI Chatbots Trained on Your Own Data ## Subhead A chatbot trained on your own data can answer real questions, not just point people to a help page. We build it around what your customers actually ask, not a generic script. ## What this solves Most off-the-shelf chatbots either give generic, unhelpful answers or just redirect customers to a help article they've probably already read. A chatbot trained on your actual product and support history can give a real, specific answer instead, which is what actually resolves the question rather than deflecting it. ## How it works - We train the chatbot on your product, FAQs, and support history. - We connect it to your website, WhatsApp, or support inbox. - We test it against real customer questions before launch. - Your team steps in only when a question genuinely needs a person. ## Benefits - Instant answers, any time of day - Fewer repetitive tickets landing in your support queue - A chatbot that reflects your business, not a generic script - Easy handoff to a person when a question needs judgment - Works across your website, WhatsApp, or existing helpdesk ## A quick example An Australian subscription business's chatbot was previously just a search box pointing to help articles, and most customers ended up emailing support anyway. Once it was retrained to give direct answers pulled from their actual policies and product data, ticket volume for common questions dropped noticeably within the first six weeks. ## Who this is for This is for support teams fielding the same handful of questions repeatedly, where a real, trained chatbot would free up meaningful time without sacrificing answer quality. ## How we measure success We agree on what success looks like before starting, whether that's time saved, faster response, or fewer errors, and check back against that number rather than declaring victory just because something is technically live. ## What good looks like after 90 days Ninety days into a custom ai chatbots trained on your own data engagement, the system should be running with little day-to-day attention from your team, refined based on real usage rather than the assumptions we started with. ## Common questions ### Can it handle account-specific questions? Yes, if it's connected to your order or account system. Otherwise it handles general product and policy questions. ### What if it gives a wrong answer? We test extensively before launch, and it's built to escalate uncertain questions to a person rather than guess. ### How long does training take? Initial training typically takes one to two weeks, depending on how much existing support content and history is available to learn from. ### Can we update it as our policies change? Yes, updates are straightforward and don't require rebuilding the whole system from scratch. ### Does it work on WhatsApp specifically? Yes, WhatsApp is one of the most common channels we connect, alongside website chat and email. **CTA BUTTON** Build Your Support Chatbot --- ## PAGE: https://www.agency.in/solutions/sop-process-automation/ # AI-Powered SOP & Process Automation ## Subhead A process that only lives in a document doesn't run itself. We turn your SOPs into daily execution, with AI checking that the steps actually happen. ## What this solves Most businesses have SOPs written down somewhere, but following them consistently depends on someone remembering every step, every time. That's where processes quietly drift, and nobody notices until something goes wrong downstream, often at a point far removed from where the original step got skipped. ## How it works - We map your current SOPs and where they tend to break down in practice. - We build AI-assisted checks and reminders directly into your existing workflow. - We set up alerts for steps that get skipped or delayed. - You get visibility into what's on track and what's not, without micromanaging. ## Benefits - Processes that get followed, not just written down - Fewer manual check-ins to confirm work got done - Clear visibility across the team without extra meetings - Early alerts when a step gets skipped or delayed - Built on top of your existing SOPs, not a replacement for them ## A quick example A US logistics company had a documented process for confirming delivery details before dispatch, but the step got skipped often enough that misdeliveries were a recurring complaint. Adding an automated check that flagged incomplete confirmations before dispatch cut that specific complaint category down substantially within the first two months. ## Who this is for This is for teams with documented processes that still break down in practice, usually because there's no system checking that each step actually happened. ## How we measure success We agree on what success looks like before starting, whether that's time saved, faster response, or fewer errors, and check back against that number rather than declaring victory just because something is technically live. ## What good looks like after 90 days Ninety days into a ai-powered sop & process automation engagement, the system should be running with little day-to-day attention from your team, refined based on real usage rather than the assumptions we started with. ## Common questions ### Do we need to rewrite our SOPs first? Usually not. We work with what you already have and build the checks around your existing documentation. ### Does this add extra steps for the team? No, the goal is the opposite. It removes the need for manual status checks, not adds more of them. ### Can this cover processes across multiple teams? Yes, and that's often where it adds the most value, since handoffs between teams are the most common place processes break down. ### What happens when a step genuinely can't be completed on time? It gets flagged with context, so whoever's managing the process can make a judgment call instead of finding out after the fact. **CTA BUTTON** Automate Your SOPs --- ## PAGE: https://www.agency.in/solutions/ai-integration-hubspot-zoho/ # AI Integration for HubSpot and Zoho ## Subhead You already have HubSpot or Zoho. We add AI directly into the CRM you use every day, instead of asking you to learn a new platform on top of it. ## What this solves Many AI tools require adopting an entirely new platform, which means retraining your team and maintaining yet another system. Adding AI directly inside the CRM you already use avoids both problems, and it means adoption doesn't depend on your team learning a second interface alongside the one they already know. ## How it works - We audit your current HubSpot or Zoho setup and how your team actually uses it. - We add AI-assisted lead scoring, follow-ups, and reporting inside the platform. - We test the new workflows against your real data. - Your team keeps working in the tool they already know, with AI layered in. ## Benefits - No new platform to learn - AI features that work with your existing data and workflows - Sixteen years of hands-on HubSpot experience behind the setup - Lower training overhead since the interface stays the same - Faster rollout than a platform switch would require ## A quick example A US services business considered switching CRMs entirely to get AI lead scoring, a project that would have taken months and disrupted their whole sales team's workflow. Adding the same capability directly inside their existing HubSpot instance took a few weeks and required no retraining at all. ## Who this is for This is for businesses already invested in HubSpot or Zoho who want AI capabilities without the disruption of switching CRMs or retraining their whole team. ## How we measure success We agree on what success looks like before starting, whether that's time saved, faster response, or fewer errors, and check back against that number rather than declaring victory just because something is technically live. ## What good looks like after 90 days Ninety days into a ai integration for hubspot and zoho engagement, the system should be running with little day-to-day attention from your team, refined based on real usage rather than the assumptions we started with. ## Common questions ### Which HubSpot and Zoho tiers does this work with? Most paid tiers support the integrations we need. We'll confirm compatibility with your specific plan before starting. ### Will this slow down our CRM? No. The integrations are built to run alongside your normal usage without adding noticeable lag. ### Do we need developer resources on our side? No, we handle the technical build. Your team's involvement is mostly around defining workflows and reviewing results. ### Can this extend to other tools we use alongside HubSpot or Zoho? Often yes, depending on what those tools are and whether they support the integrations needed. ### Is our data safe during the integration process? Yes. We work within your existing account permissions and don't move or export your data outside the platform you already trust. **CTA BUTTON** Add AI to Your CRM --- ## PAGE: https://www.agency.in/solutions/ai-content-seo-automation/ # AI-Powered Content and SEO Automation ## Subhead Publishing consistently is hard when it's not anyone's full-time job. AI helps you write, optimize, and publish content built to rank in search and get cited by AI answer engines. ## What this solves Most businesses know they should publish content regularly but don't have someone dedicated to it, so publishing becomes sporadic, and SEO gets treated as an afterthought rather than something built into every piece from the start. The result is a blog with long gaps and pages that were never actually optimized for what customers search. ## How it works - We build a content plan around what your customers actually search for. - AI drafts content, and your team reviews before it goes live. - We optimize every page for search engines and AI answer engines (SEO, AEO, GEO). - We track what's actually ranking and adjust the plan over time. ## Benefits - Consistent publishing without hiring a full content team - Content built to show up in ChatGPT, Perplexity, and Google AI Overviews, not just search results - SEO handled as part of the process, not an afterthought - A content plan grounded in what customers actually search - Ongoing tracking so the plan adjusts to what's working ## A quick example A professional services firm in Australia had published four blog posts in two years, none of them optimized for search. After building a content plan tied to actual search terms their prospects used, they moved to a steady publishing cadence, and organic traffic to the blog grew consistently over the following two quarters. ## Who this is for This is for businesses that know content marketing matters but don't have the bandwidth to publish consistently or optimize each piece properly. ## How we measure success We agree on what success looks like before starting, whether that's time saved, faster response, or fewer errors, and check back against that number rather than declaring victory just because something is technically live. ## What good looks like after 90 days Ninety days into a ai-powered content and seo automation engagement, the system should be running with little day-to-day attention from your team, refined based on real usage rather than the assumptions we started with. ## Common questions ### Does AI write the final version, or just a draft? AI drafts, and your team reviews and edits before anything publishes. We don't recommend publishing unedited AI content. ### What's the difference between SEO and AEO? SEO optimizes for traditional search rankings. AEO optimizes so AI tools like ChatGPT and Perplexity can find and cite your content directly. ### How many pieces of content can we expect per month? That depends on your plan and budget, but most engagements settle into a steady weekly or biweekly cadence. ### Do you handle keyword research too? Yes, the content plan is built around actual search terms and questions your customers are using, not guesswork. **CTA BUTTON** Plan Your Content Calendar --- ## PAGE: https://www.agency.in/pricing/ # Simple Pricing. No Jargon. No Hidden Fees. ## Subhead Start with a free audit of your current process and tech stack. From there, choose a fixed-scope website foundation built to get you started, or a custom AI transformation engagement scoped around what you actually need. ## Step 1: Free Audit of Your Tech Stack & Processes Cost: free, with no obligation to continue. Every engagement starts here, whether you continue with us afterward or not. What's included: a review of your current business processes and tech stack, followed by a written report on where AI could realistically help and where your website or systems are currently falling short. If your data or client contracts need it, we'll sign an NDA before we look at anything, just ask when you book. ## Step 2: Choose a Plan ### Foundation (Website Redevelopment) Best for: SMBs that need a business website that actually converts, ranks, and shows up in AI search results like ChatGPT and Google AI Overviews. A website that's slow or thin on content is effectively invisible to AI search tools, no matter how good the business behind it is, which makes this the foundation the AEO and GEO work on every other page depends on. ## Foundation: what's included - Up to 35-50 website pages, built to your brand and content - Up to 35-50 blog posts published per year (up to 2,000 words and 4-5 images each) - SEO, AEO (answer engine optimization), and GEO (generative engine optimization) built in from the start - Mobile and speed optimization - 99% uptime and secure hosting - Business email setup and maintenance - Written scope of work before anything starts ## Foundation: what's not included Major redesigns or full site restructures are scoped separately, and this plan is built for B2B business websites, not ecommerce. If either applies to you, that's a conversation for the Custom plan instead. ### Custom (AI Transformation) Best for: businesses ready to put AI to work across the parts of the business costing the most time, sales, marketing, support, or operations. Pricing is scoped individually based on which departments and systems are involved, and you'll get an exact quote after your free audit, not before. ## Custom: what's included - Scoped to your specific departments and bottlenecks after the free audit - Written scope of work covering deliverables, timeline, and cost before anything is signed - AI built into your existing CRM, helpdesk, or website — no platform switch required - Phased build with progress visible every one to two weeks - Testing against real scenarios from your business before launch - Named point of contact who owns the project end to end - Support window after launch to catch and fix anything that comes up - NDA available before the audit if your data needs that protection ## Own your data, not just a subscription A lot of businesses hand their day-to-day work to ChatGPT or Claude directly, drafting client emails, summarizing calls, pasting in contracts, without thinking about where that data actually goes. That's a real privacy exposure, not a hypothetical one: sensitive business conversations sitting inside a public consumer AI tool you don't control can surface in places you never intended, and you have no way to audit or prevent it once it's there. We build AI directly into systems you own, whether that's your own CRM, a private chatbot trained only on your data, or an internal tool your team controls. Your business conversations stay your business, not a public AI provider's problem to lose track of. ## Common questions ### Is the audit really free? Yes. No credit card, no obligation to continue. You get a written report either way. ### Can you sign an NDA before you look at our systems? Yes, on request. We're happy to sign one before the audit starts if your data or client contracts need that protection. ### Why does the Foundation plan have a yearly instead of monthly retainer? Most businesses in this segment plan budgets annually, not monthly, so the retainer is structured to match how you actually budget, one predictable number instead of a recurring line item to track every month. ### What if we need more than the Foundation plan covers? That's exactly what the Custom plan is for. We scope it around your specific systems and priorities after the free audit. ### Do you build on our existing website platform or require a new one? In most cases we work with what you already have unless it's genuinely holding you back. ### Is our data safe if we work with you? Yes. We don't run your business conversations through public AI tools without your knowledge, and we can operate under an NDA from day one if you need it. ## Closing You don't have to guess what any of this costs or hand over your data to find out. Book the free audit, see exactly where you stand, and decide from there. **CTA BUTTON** Book Your Free Audit --- ## PAGE: https://www.agency.in/how-we-work/ # How We Work ## Intro Built for SMB and mid-market teams that need real project management, not a two-person favor done on the side, and not the multi-layered governance of a large enterprise engagement either. Every phase below has a named owner and a defined outcome, and you always know exactly where the project stands. ## Who this process is built for We work with small and mid-sized businesses, not Fortune 500s. That's a deliberate choice, not a limitation we're apologizing for. A large enterprise buyer needs a vendor with hundreds of people on the bench and a formal RFP process; that's not us, and we won't pretend otherwise. What we do bring is a process disciplined enough that nothing falls through the cracks, sized for a team that doesn't need a steering committee to get a project approved. ## Phase 1: Discovery Call & Free Audit You tell us what's taking up too much of your team's time, and we ask direct questions about your current tools, workflows, and team structure. From there, we run a free audit of your current process and tech stack, no cost, no obligation to continue. If your data or client contracts need it, we'll sign an NDA before we look at anything. No forms beyond the basics, and no generic slide deck built for whoever walks through the door next. ## Phase 2: Scoping & Proposal You get a written scope of work, not a verbal understanding you have to remember correctly. It covers exactly what we're building, the timeline, the cost, and how we'll measure whether it worked. You can take this document and compare it against any other vendor's proposal. ## Phase 3: Kickoff You're introduced to your point of contact and the implementation team assigned to your project, whether that's one person or several, depending on scope. We confirm access to the systems involved and agree on a communication cadence before any building starts. ## Phase 4: Build in Phases Work ships in milestones, not one large reveal at the end. You see working progress every one to two weeks, which means problems surface while they're still cheap to fix, and you're never wondering what's actually happening behind the scenes. ## Phase 5: Testing & Review Before anything touches your customers or your real data, you review it against actual scenarios from your business and sign off. This isn't a formality. It's where mismatches between what was scoped and what got built get caught. ## Phase 6: Launch & Support We launch, then stay involved through an agreed support window to catch and fix anything that comes up in real use. After that window, you can set up ongoing support if you want it, or take the finished system and run with it. ## Who's on your project Every project gets a named point of contact who owns it end to end and can answer questions without checking with three other people first. Behind that person sits whichever mix of implementation engineers and design support the specific project actually needs, not a fixed team assigned regardless of fit. ## How we communicate You get a regular, plain-language status update on a set cadence, agreed during kickoff, not a dashboard you're expected to interpret yourself. If something is behind schedule or needs a decision from your side, we flag it the moment we know, not at the next scheduled check-in. ## How we handle scope changes Priorities shift mid-project more often than not, and that's fine. A change gets documented and estimated on its own, so you can decide whether it's worth the added time or cost, instead of it quietly stretching the timeline without anyone saying so. ## Why this process works A large enterprise process, with steering committees and multi-week sign-off chains, would be wasted overhead on a project your size. But treating a real engagement like an informal favor is how corners get cut and scope quietly drifts. This process sits in the middle on purpose: enough structure that nothing gets missed, without the governance layers that only make sense once a project needs to satisfy a dozen stakeholders. ## Common questions about the process ### How long before we see results? It varies by project, but most clients see something working within the first two to four weeks, with refinement continuing after that. ### What if our priorities change mid-project? That's normal, and the phased approach we use is built to accommodate it. We'd rather adjust the plan than force you to stick with a scope that no longer fits. ### Do we need to be technical to work with you? No. We explain everything in plain terms and handle the technical side ourselves, regardless of your team's background. ### What if we're not sure we're ready to start? That's exactly what the discovery call is for. You're not committing to anything by booking one, and you'll leave with a clearer sense of whether now is the right time to move forward. ### Do we get a formal scope of work? Yes. Every engagement starts with a written scope of work covering deliverables, timeline, and cost, not a verbal understanding you have to remember correctly. ### Who will we actually be working with day to day? A named point of contact who owns your project end to end, backed by the implementation team the work actually needs. You're never routed through a general support queue. ### Is the initial audit really free, and can we get an NDA signed first? Yes to both. The process and tech stack audit in Phase 1 costs nothing and carries no obligation to continue, and we'll sign an NDA before we look at anything if your data needs that protection. ### You're based in India — how does that work for US or Australian clients? We schedule overlapping hours with US Eastern and Australian Eastern time so there's always a window each business day where you can reach your point of contact without waiting overnight. We communicate via your preferred channel, async by default, live when you need it. **CTA BUTTON** Book Your Discovery Call --- ## PAGE: https://www.agency.in/glossary/ # AI Transformation Glossary ## Intro Plain-language definitions for the terms we use most, no jargon required. If a word here is missing something you'd find useful, that's exactly the kind of feedback that keeps this page updated. AI has picked up a lot of vocabulary fast, and a good chunk of it gets used inconsistently even by people who work in the field. This glossary sticks to the terms that actually come up in conversations with clients, explained the way we'd explain them out loud, not the way a textbook would. ### AI Transformation Building AI into how a business runs, across sales, marketing, support, and operations, instead of adding one isolated tool. It changes the process end to end, not just one step in it. ### AI Implementation Adding a single AI tool for a specific task, like a chatbot or a report generator. Useful on its own, but narrower in scope than a full transformation. ### Lead Scoring Ranking leads by how likely they are to buy, based on real behavior and data like page visits, email engagement, and past purchase patterns, not just gut feeling. ### SOP (Standard Operating Procedure) A documented process for how a task should be done, consistently, every time, regardless of who's doing it. ### AEO (Answer Engine Optimization) Optimizing content so AI tools like ChatGPT and Perplexity can find, understand, and cite it directly when someone asks a relevant question. ### GEO (Generative Engine Optimization) Optimizing a website so it shows up in AI-generated answers and summaries, not just traditional search engine results pages. ### RAG (Retrieval-Augmented Generation) An AI method that pulls from your own business data to give accurate, specific answers instead of generic ones pulled from general training data. ### Chatbot A tool that answers customer questions automatically, trained on your business's own information, products, and policies. ### AI Agent An AI system that can take action, not just answer questions, like booking a meeting or updating a record, inside the tools you already use. ### CRM (Customer Relationship Management) The software that tracks your leads, customers, and sales pipeline, like HubSpot, Zoho, or Salesforce. ### Automation Using software to handle a repeatable task without a person doing it manually each time, freeing up time for work that needs judgment. ### AI Readiness How prepared a business's data, tools, and team are to actually support an AI project, before any money gets spent building one. ### Guardrails Clear limits built into an AI system, especially agents, on what actions it can take without a person's approval. ### Data Integration Connecting different systems, like a CRM and a helpdesk, so information flows between them automatically instead of being re-entered by hand. ### AI Pilot A small, limited test of an AI tool or workflow before rolling it out across the whole business. ### Prompt The instruction or question given to an AI system that shapes the response it generates. ### Training Data The information an AI system learns from. In a business context, this often means your own FAQs, policies, and support history. ### Escalation Path The defined route a task or question follows when it needs to move from an AI system to a person. ### Personalization Tailoring a message, offer, or experience to an individual customer's behavior or preferences, rather than sending the same thing to everyone. ### Workflow A defined sequence of steps a task moves through from start to finish, whether handled by a person, software, or both. ## Still confused by a term? That's normal. Most jargon in this space isn't as complicated as it sounds once someone explains it in plain terms. If a term you've heard isn't listed here, ask us directly on a discovery call, and we'll add it if it's a common enough question. **CTA BUTTON** Talk Through Your AI Options --- ## PAGE: https://www.agency.in/faq/ # Frequently Asked Questions ## Intro Straight answers to the questions we hear most before someone books a discovery call. If yours isn't here, ask us directly, we'd rather answer it than have it be the reason you don't reach out. ## Getting started ### What does this cost to start? Your discovery call and initial process and tech stack audit are both free, with no obligation to continue. Beyond that, pricing depends on where AI fits first and how much work is involved, and you'll get clear numbers before any commitment, with no surprise fees added later. ### What happens on the discovery call? We look at what you're already using, show you where AI fits based on your specific business, and send you a written plan afterward. No pitch deck, no pressure to sign anything on the call itself. ### How long does AI transformation take? It depends on your business and how many areas you're tackling at once, but most engagements show early results within the first few weeks, with full rollout continuing over the following months. ### Do I need a big budget to start? No. Many engagements start small and scoped, like a single process or department, and expand once you've seen the results firsthand. ## Pricing and commitment ### Can I cancel anytime? Yes. There's no long-term lock-in. You keep the plan and systems we've built even if you decide to stop working together. ### Do you require a retainer? Not for every engagement. Some projects are one-time builds, others benefit from ongoing support. We'll recommend what actually fits, not default to the option that costs more. ### Are there any hidden or recurring fees? No. Anything recurring, like an ongoing support retainer, is discussed and agreed on upfront, never added after the fact. ## Tools and integration ### Will this mean changing my current tools? Not unless they're outdated or no longer working for you. If your current tools are solid, we build AI directly into them, so your team barely notices a learning curve. ### What CRMs and platforms do you work with? Most commonly HubSpot and Zoho, given our background, but we've worked with a range of tools and legacy systems depending on what a client already has in place. ## Team and support ### Will this replace people on my team? No. AI handles the repetitive parts so your team can spend time on the parts that need a person, judgment calls, relationship building, and problem-solving. ### Do I need technical staff to work with you? No. We work directly with your existing team, whatever their technical background, and explain everything in plain terms along the way. ### What happens after launch? We stay involved through an agreed support window to catch and fix issues, and can set up an ongoing arrangement afterward if you want continued support. ### Who do we talk to if something needs attention after launch? A specific point of contact who knows your project, not a rotating support queue that requires re-explaining your setup every time. ### How do you price engagements? Pricing depends on scope. You'll always see clear numbers before committing to anything, and there are no hidden or surprise fees added after the fact. ## Still have a question? ### Can I speak to someone before booking a discovery call? Yes. If you'd rather ask a quick question first than commit to a full call, reach out through the contact page and we'll respond directly. ### Do you work with businesses outside India? Yes. We've worked with clients across the US, Europe, and Australia and New Zealand, alongside businesses in India. ### What industries have you worked with? Most directly manufacturing, healthcare, financial services, insurance, retail, and real estate, though the underlying approach applies to most businesses with repeatable processes. ## Data privacy and security ### Can you sign an NDA before the free audit? Yes. If your data, client contracts, or internal processes need that protection, we'll sign an NDA before we look at anything, just ask when you book. ### Is it safe to use ChatGPT or Claude for our business conversations instead of building our own system? Not for anything sensitive. Pasting client emails, contracts, or internal data into a public consumer AI tool means you no longer control where that information goes. We build AI into systems your business actually owns, so your data stays yours. ### You're based in India — how does that work for clients in the US, Australia, or Europe? We schedule overlapping hours with US Eastern and Australian Eastern time so there's always a live window each business day. We work async by default and live when you need it, and your point of contact knows your project without you having to re-explain each time. **CTA BUTTON** Ask Us Your Question --- ## PAGE: https://www.agency.in/terms/ > **Note:** Drafting template. We take your privacy seriously and aim to be clear about our practices rather than burying them in legal language. ### Information We Collect We may collect your name, email, company details, and any information you share through forms, calls, or email. If you engage us as a client, we may also collect business data needed to deliver our services, as agreed in your individual contract. ### How We Use Your Information We use your information to respond to inquiries, deliver services, send relevant updates if you've opted in, and improve our website and offerings. We don't use your information for purposes beyond what's reasonably expected from your relationship with us. ### Data Sharing We don't sell your information. We may share it with trusted tools and partners strictly needed to deliver our services, such as hosting providers or integration platforms, and only to the extent necessary for that purpose. ### Data Security We take reasonable steps to protect your information, including access controls, secure storage, and limiting access to information on a need-to-know basis within our team. ### Cookies Our website may use cookies to understand traffic and improve the experience. You can control or disable cookies through your browser settings, though some site features may not work as expected if you do. ### Data Retention We retain your information for as long as needed to provide our services or as required by law, and delete it when it's no longer needed for those purposes. ### Third-Party Links Our website may link to third-party sites. We're not responsible for the privacy practices of those sites, and we'd encourage reviewing their own policies before sharing information there. ### International Data If you're contacting us from outside India, your information may be processed in India as part of delivering our services. We take reasonable steps to protect it regardless of where it's processed. ### GDPR: Your Rights If You're in the European Economic Area If you're located in the EEA, UK, or Switzerland, we process your personal data on the basis of your consent, our legitimate interest in responding to your inquiry, or the performance of a contract, depending on the context. You have the right to access, correct, delete, or export your data, restrict or object to certain processing, and withdraw consent at any time without affecting processing already carried out. Where personal data is transferred from the EEA, UK, or Switzerland to India, we rely on appropriate safeguards, such as standard contractual clauses, to ensure it's protected to a comparable standard. If you believe your rights under GDPR haven't been respected, you can lodge a complaint with your local data protection authority in addition to contacting us directly. ### Your Rights You can request access to, correction of, or deletion of your personal information at any time. Contact us through our contact page and we'll respond within a reasonable timeframe. ### Changes to This Policy We may update this policy from time to time. "Standard request" means a non-urgent question or change request that doesn't affect a live system's operation. ### Service Availability We aim for consistent uptime and availability across any systems we build and maintain, as specified in your service tier. Specific uptime commitments, if any, are detailed in your individual service agreement. ### Support Response Times Standard support requests are acknowledged within one business day. Urgent issues affecting a live system are prioritized and addressed as quickly as possible, typically within a few hours during business days. ### Maintenance Windows Planned maintenance is scheduled outside business hours where possible, and clients are notified in advance so there are no surprises around expected downtime. ### Escalation Process Unresolved issues can be escalated directly to your account contact for faster attention. If an issue remains unresolved beyond the expected timeframe, it gets escalated internally to a senior team member. ### Exclusions This SLA doesn't cover issues caused by third-party tools, client-side changes made without notifying us, or factors outside our reasonable control, such as outages on platforms we integrate with but don't operate. ### Reporting Clients on an ongoing support arrangement receive periodic reporting on system performance and any issues addressed during the period, so there's visibility into what's being maintained. ### Review and Updates This SLA may be reviewed and updated periodically, particularly as a client's service tier or scope changes. Any changes are communicated directly rather than published without notice. ### Client Responsibilities Meeting the response times in this SLA depends on clients providing timely access to systems and information needed to diagnose and resolve an issue. Delays on the client side may extend expected resolution times accordingly. ### Communication Channels Support requests should go through the agreed channel for your engagement, typically email or a shared support inbox, so requests are tracked and don't get missed in an informal chat thread. ### Monitoring For systems we actively maintain, we monitor for issues proactively where possible, rather than relying solely on clients to report problems as they arise. ### Out-of-Scope Requests New feature requests or scope changes beyond the original agreement are handled as separate work, scoped and quoted individually rather than folded into standard support. ### Business Hours Standard support operates during regular business hours, India Standard Time. For clients in the US and Europe, we schedule a portion of the team's hours to overlap with US Eastern and Central European time. For clients in Australia and New Zealand, we maintain early-morning IST coverage that aligns with Australian Eastern time. Specific coverage windows are confirmed in your individual agreement. ### Multi-Channel Support Depending on your engagement, support may be available through email, a shared support inbox, or a messaging channel agreed with your account contact. Using the agreed channel helps requests get tracked and resolved on schedule. ### Client Success Reviews For ongoing engagements, we schedule periodic check-ins to review how well the system is performing against the outcomes we originally agreed on, not just whether it's technically still running. ### Data Backup and Recovery For systems we build and maintain, we follow reasonable backup practices so that data and configurations can be recovered in the event of an unexpected failure. ### Change Requests Minor adjustments to an existing system are typically handled as part of standard support. Larger changes are scoped and estimated separately so pricing stays transparent on both sides. ### Service Credits Where a specific uptime or response commitment is included in your individual agreement and isn't met, any applicable service credit is calculated and applied as described in that agreement, not as a blanket policy here. ### Contact Support and SLA questions can be sent to our contact page. ---
